Job Summary

Position Summary:
IAVI is seeking to hire a dedicated Program Manager who will be responsible for the program management of a portfolio of the ADVANCE program, working closely with researchers and stakeholders across the IAVI-ADVANCE Clinical Research Center (CRC) network and collaborating global institutions. This position is responsible for overseeing the successful delivery of ADVANCE SA1 milestones and outputs aligned with programmatic outcomes.
Education and Experience:
  • PhD or Masters in life science, Public Health, Organizational Management or a related discipline is desired.
  • At least five years’ work experience in a relevant role medical/academic/research environment is required.
Qualifications and Skills:
  • Demonstrated experience of project management required.
  • Experience in research capacity strengthening is required.
  • Experience of managing multi-centre research projects is required.
  • Proven success in medical/academic research management and administration is required.
  • Proven experience in project MEL is required.
  • Proven success in servicing committees is required.
  • Experience of managing budgets is required.
  • Previous work in a multicultural environment is required.
  • Solid reasoning and analytical skills are required.
  • Ability to establish and maintain good working relationships at all levels is required.
  • Excellent organisational skills with an ability to multitask and prioritise is required.
  • Excellent verbal and written communication skills is required.
  • Clear, concise report writing skills is required.
  • Computer literacy, with advanced Microsoft Office skills is required.
  • Previous work experience in the field of Global Health and/or HIV is desirable.
  • PMP certification is desirable.

Key Responsibilities:
  • Portfolio Management: Assist in the management, coordination and monitoring of ADVANCE SA1 program to ensure all activities under purview deliver the desirable  b        outcomes through the development and control of deadlines and activities, in alignment with budget(s)
    1. Outcome/Milestone Delivery. Identify and implement a program management system to ensure all programs under purview deliver the desirable outcomes by         developing and controlling deadlines, activities, in alignment with budget(s).
    2. Monitoring & Evaluation. Work with M&E team to design, implement a framework to track key indicators and results related to ADVANCE to inform adjustments         in project implementation. 
    3. Change/Risk Management. Assist Strategic Area leads in assessing program performance with aim to maximize return on investment. Observed deficiencies will        be evaluated, corrective actions will be proposed, modified, approved, and implemented.
    4. Budget Management. Working closely with IAVI Financial Administration, ADVANCE Chief of Party, and SA1 Leads, ensure assigned SA1 programmatic activities           are properly accounted, reported, budgeted, and forecasted in compliance with IAVI, grant, and donor-specific policies.
    5. Database of reference materials. Working closely with SA leads, consolidate records/documentation (proposals, charters, risk registers, meeting                     minutes, lessons learned, etc.) and create a readily accessible information repository for the purposes of information exchange, process and                  performance reviews (ME&L), and the proper acknowledgement and celebration of successes.
  • Communications: Ensure internal and external stakeholders receive timely updates and information pertaining to the ADVANCE SA1 Program. 
    1. Information conduit.  Collate information for the preparation of updates on the progress of projects in a variety of formats (e.g., emails, letters,                 briefings, progress reports, presentations) to ADVANCE Leadership, donors and CRC partners.   Communicate with internal and external                       stakeholders on behalf of Strategic Area leads.
    2. Internal/External Reporting. With assistance of ADVANCE Program Coordinator and Strategic Area Leads, curate and prepare reports to the level of detail                    required by internal or external stakeholders in order to successfully highlight progress and/or achievements.  
  • Partnership Management: Assist in the management of internal and external relationships to advance desired outcomes and deliverables. 
    1. Liaison. Coordinate between internal and external stakeholders for the establishment and execution of agreements and contracts (collaborative               agreements, MTAs, MSAs, etc.).
    2. Programmatic Interface. Assist Strategic Area Leads to ensure that ADVANCE SA1 activities are aligned and integrated with ADVANCE Strategic Area 2 (Clinical              Development), ADVANCE Strategic Area 3 (Capacity Building) and IAVI’s organizational strategy. 
  • Program Design: In partnership with ADVANCE Strategic Area 3 (Capacity Building), design a research implementation program that can support individual CRCs and              CRC network towards path to self-reliance and sustainability 
    1. Benchmarks. Set benchmarks to enrich the individual and collective research capacities of all collaborating partners. 
    2. Knowledge-Exchange. Implement a knowledge exchange forum with collaborating partners and external organization to improve the quality, magnitude, and              sustainability of the ADVANCE research agenda.
