Job Summary

Background
The re-occurring mantra of “Kenya as an island of peace in Africa” is belied by Kenya’s history. In many parts of the country, violent conflicts erupt regularly along ethnic lines. Mostly they relate to disputes over access to and ownership of natural resources, livestock theft, or are fueled by political interests and abuse of power. Large parts of the country suffer from chronic insecurity and high levels of criminality leading to death and internal and external displacement, thus accelerating the conflict circle around resource distribution and land allocation. The post-election violence 2007/2008 marked one of the peaks of violent conflict in Kenya, and constituted the entry point for the German Civil Peace Service (CPS) engagement. Since then, the CPS program in GIZ supports the conflict sensitive implementation of the Constitution, strengthens inner Kenyan processes for rehabilitation and reconciliation, and creates sustainable structures for non-violent conflict transformation. CPS also engages in strengthening conflict-sensitive media work and supporting the advocacy work of human rights actors. Ten Peace Building Advisors strengthen the capacity of local organizations in the field of dialogue, conflict sensitivity, and non-violent conflict transformation. They support inclusive approaches and fostering socioeconomic justice. Inclusive and participatory work approaches contribute to the sustainability of the partners’ activities. They guarantee the participation of all affected sections of the population in processes of opinion-forming. Since 2014, CPS also runs the special program “Preventing Displacements Reintegrating IDPs”. It focuses on reconciliation between Internally Displaced Persons (IDPs) and host communities, strengthening cooperation between IDPs, host communities and local government, as well as advocacy and legal awareness raising.
In November 2018, CPS Kenya will host the biannual regional CPS conference.

  • Diploma/BA in Communication and/or Business Administration, management, or related field
Professional experience
  • Exposure Experience in Communication
  • Other knowledge, additional competences
  • Excellent knowledge in computer programs, Word, Outlook, Excel
  • Experience in communication and office administration
  • Strong communication and organisational skills
  • Service oriented team player with negotiation competencies
  • Integrity and professional discretion essential
  • Excellent knowledge of English
  • Knowledge of German is an asset


Responsibilities

The Communication Assistant is responsible for

  • Preparing and carrying out all necessary tasks in relation to the regional conference.
  • Assisting the CPS program manager and the Administration Officer in the administrative and financial procedures and the daily management of the CPS office in Rhapta Road with a focus on all administrative duties in relation to the regional conference, Westlands,
    Nairobi.
The Communication Assistant performs the following tasks:
Communication
  • Work closely with the CPS steering team and working group on the regional conference
  • Drafting and sending out invitations and all necessary documents in relation to the regional conference
  • Serving as the focal person for communication for participants of the conference
  • Taking minutes of the conference and related meetings
  • Preparing the final conference report and all necessary documents
  • Taking care of any other upcoming organizational matters
Office Management
  • Assist the Program Coordinator in administrative duties in the procurement of supplies and management of inventories, namely
  • keeping track of office equipment, stationary etc. and ordering of supplies in relation to the conference.
  • keeping records of office equipment for the conference and prepare the necessary arrangements (beamer, moderation boxes, pin boards, digital camera)
  • Assist the Administration officer in organizing everyday office activities:
  • Receiving visitors, ensuring a proper telephone service
  • Registration and distribution of incoming and outgoing mails
  • Drafting official correspondence in both English and, if possible, in German
  • Filing documents
  • Taking care of any other upcoming organizational matters
Assistance in Financial Management
  • In all matters concerning the conference, e.g. procurement, booking, financial
    reporting, preparing for booking
  • Liaising closely with GIZ Country Office Finance Department
  • Moreover, the Communication Assistant is to perform any other activity assigned by the program coordinator.
