The job holder will oversee the Long Term Business Records and Data and ensure data security, client privacy and data protection for the business. The post holder will report to the General Manager Life & Pension Department and will be based at Head Office.

1. Provide an in depth understanding on the company’s data through analysis of data clusters and help the business make data-driven decisions

2. Responsible for the creation, maintenance and disposal of company records. He/she provides leadership to the registry and records creation teams
3. Ensures sufficient controls are in place on client data and report sharing within departments to prevent unauthorized sharing of data
4. Provide recommendations from inferences drawn from analysis of company data to enable data-driven decisions and own the implementation of initiatives developed from this analysis
5. Ensure that the company’s processes with regard to records management are up to date with changing technology
6. Establish and maintain records management systems with an aim to have company records catalogued correctly for ease of accessibility in file and/or electronic format
7. Provide systems that enable checks for the data that is input in the company’s core systems to ensure quality input of data
8. Develop, maintain, verify and evaluate filing systems with a view of lean process management
9. Overseeing the switch from paper to electronic record-keeping
10. Ensuring that data is protected from natural perils and other disasters
11. Supervise preparation of client files and dispatch of policy documents/member certificates, classification and indexing records and destroying or archiving records
12. Preparation of management reports on data, registry and record status
13. Ensuring confidentiality in client records, and that client records and information are released to authorized persons only
14. Ensuring that financial, legal or administrative requirements and regulations are complied with
15. Providing training to staff who require access or have responsibility for maintaining records
