Job Summary

The ERP General Coordinator, supervised by the Country HOSS, is expected to substantially contribute to the Management of major initiatives which are required at the country level prior to the implementation of the ERP system whose goes live date is on 1st January 2019.


Responsibilities

  1. To achieve the position’s objectives, the ERP General Coordinator will undertake the following responsibilities:
  2. Facilitate a coherent and comprehensive alignment of the schedule, scope, requirements, pre-requisites, risks and goals of the ERP programme among managers at country level.
  3. Present DEMOS and ERP Objectives before implementation.
  4. Identify or act as project manager for major initiatives prior to the implementation of the ERP system, including the assurance that such initiatives are completed in a timely manner.
  5. Set up and maintain a reporting, communication and meeting structure with country management which ensures that the communication and change management activities of the ERP Programme is presented to country management.
  6. Work closely with Country Director, Head of Support Services, SMT and Change Manager to develop a communication plan in country on ERP.
  7. Support Area offices on general implementation of ERP.
  8. Prepare a training schedule in liaison with the HOSS, for communication with Regional ERP Coordinator and HQ Project Team.
  9. Coordinate in country training plan for Super Users, Heavy users and Light Users for Supply Chain, Human Resources, Finance and Grants modules of the ERP system.
  10. Coordinate regional training and work as the link with Regional Coordinator to confirm trainees.
  11. Coordinate and review nominated trainees for clearance with HOSS and CD and submission to RO. Further, responsible to coordinate trainees and trainers travel for the various ERP trainings.
  12. Ensure IT pre-requisite requirements are implemented on time.
  13. Coordinate Data migration exercise with respective country HODs for timely RO submission.
  14. Provide regular updates to country CD/SMT and Regional Office ERP Coordinator on status of ERP implementation.
  15. Attend regular meetings with RO to provide status update on implementation.
  16. Flag challenges or areas that require decision on ERP implementation with CD and HOSS.
  17. Liaise with Country HOSS for user licenses requirement with RO/HQ.
  18. Ensure effective ERP Budget Provision and management in close coordination with HOSS/CD. Maintains project cost detail by regularly monitoring cost and resources required for the ERP, as well raise any red flags that may impact on successful implementation of the ERP.
  19. Maintains and archive all ERP training materials and documentation.
  20. Maintains the ERP Change Management Action Plan and initiatives.
