Job Summary

Manage the delivery of estates and transport services to support business operations in PAU.

Responsibilities

  1. Establish Departmental requirements for office equipment and utilities and budget for their procurement and installation.
  2. Monitor the PAU maintenance contracts to ensure conformity to the Service Level Agreement.
  3. Develop service delivery standards and guide contractors during installation works.
  4. Verify monthly utility bills and recommend for payments.
  5. Approve requests for vehicle repairs, maintenance, street parking and outsourced transport services.
  6. Plan and budget for transport requirements such as fuel, lubricants, tubes and tires.
  7. Inspect and review the performance of garages in terms of the set service delivery standards.
  8. Develop and review policies that govern operations in the Fleet section
  9. Monitor vehicle usage and maintenance in PAU and recommend areas for improvement.
  10. Conduct transport needs analysis, identify and agree on the transport needs.
  11. Monitor the development of terms of reference for estates contractors and supervise works projects.
  12. Identify appropriate office premises, establish appropriate value and manage the tenancy contracts.
  13. Lead the supervision, monitoring and evaluation of outsourced civil works contracts to ensure value for money.
  14. Protect PAU property such as land, buildings parking yards and drainage systems from encroachment.
  15. Develop office layout and setup.
  16. Recommend payment of property rates, rent and ground rates.
  17. Plan and budget for resource requirements in the business Unit and monitor the usage to ensure efficiency.
  18. Develop and monitor a Business Unit Work plan and develop performance agreements with all the staff under supervision.
  19. Monitor staff performance and provide guidance and periodic feedback for performance improvement.
  20. Assess the training and development needs of staff under supervision and recommend appropriate interventions.
  21. Provide coaching and mentoring support to staff under jurisdiction.
  22. Initiate and implement activities/programs intended to create and harness teamwork in the business Unit.
  23. Implement succession planning and any other staff related programs as introduced and approved in the organization.
  24. Create and maintain a working atmosphere that fosters creativity and innovation in the team.
  25. Perform any other duties as may be assigned from time to time.
