Job Summary

Reporting to the Chief Executive Officer, the job holder will be in charge of office operations and staff matters. Seated at the font desk, the job holder will be the first contact will all customers either physically or through calls, mails or otherwise


Responsibilities


  1. Prepare office budget in consultation with user departments
  2. File returns on time (PAYE, VAT, NHIF, NSSF, HELB) and ensure safe custody of all transactional records
  3. Petty cash management including bank reconciliation
  4. Timely Payroll preparation and posting to the system for approval
  5. Updating debtors and creditors register and pushing for all collections in consultation with functional heads
  6. Timely invoicing ensuring proper documentation accompany the invoices
  7. Maintaining proper books of account
  8. Producing weekly, monthly, quarterly and annual financial reports to the management
  9. Ensuring all staff files are safely kept, comply with all applicable labour laws and updated on time (Specifically, all staff files should contain; Employment contract, Job Application letter, CV, Copies of academic and professional certificates, Employee background/reference consent form, copy of National ID, Copy of NHIF and NSSF cards, Bank details, Copy of Certificate of Good Conduct, CRB, Copy of PIN Certificate etc)
  10. Receive, direct and respond to all customer queries including giving prompt feedback
  11. Ensure safe custody of all Company documents, spare keys, Licenses, etc
  12. Come up with staff welfare programs including end of year parties, special functions etc
  13. Ensure office security by ensuring all lockable doors are locked and all visitors are vetted before the are allowed to see back office staff
  14. Open and close offices and supervise office cleanliness
