Job Summary

The HR Intern is responsible for assisting the field HR Office in HR administrative tasks to ensure smooth running of the office.


Time Sheet Management

  1. Ensuring timesheets are submitted on a timely manner in Dadaab office and the same is forwarded to Nairobi on time.
  2. Updating the timesheet tracking schedule on a monthly basis and sharing with the HR team by the 20th of every month.
Leave Management
  1. Updating of personnel files, keeping track of outstanding incentive staff leave days and sick leave.
  2. Ensure that incentive staff leave forms are filed in departmental leave files
  1. Arrange for orientation of new staff including scheduling appointments with heads of departments.
  2. Making sure that the new staff have filled and signed all the necessary new employee documents.
  1. Managing internal and external telephone conversation.
  2. Updating and maintaining staff and partners/stakeholders contact information
  3. Receiving and responding to all internal and external enquiries
  4. Assist in organizing of meetings, taking minutes and office functions
Additional Support
  1. Maintaining stationery supplies for HR Office
  2. Ensuring an efficient and effective filing system of office documents to facilitate prompt retrieval of information and support documents,
  3. Regular ordering of office supplies and ensuring good utilization and accountability of the same
  4. Generate HR Incentive reports as part of capacity building within the department.
  5. Undertake any other duties as assigned by your supervisor.
