Job Summary

• Diploma in Administration or equivalent.
• Minimum 5 years’ front office experience in a hospital or clinic setting.
• Proficient with Microsoft Outlook, Word, Excel and PowerPoint.
• Excellent organizational and presentation skills.
• Full capability of all aspects of administration including development, planning, coordination and scheduling.
• Well-developed ability to complete tasks thoroughly, accurately and in a timely manner.
• Ability to be a self-starter and work with limited supervision.
• High level of verbal and written communication skills.
• Demonstrated ability to manage conflicting priorities.
• Fluency in English.
• Valid and active passport required.
• Detailed and most updated resume/CV.

Responsibilities

• Provide administrative services which adhere to the facilities’ policies and procedures.
• Available twenty-four (24) hours a day, seven (7) days a week, primarily but not exclusively for administrative services.
• Coordinate the scheduling, attendance register and certificates and updates for training provided in the field hospital.
• Follow guidance of Project Manager to coordinate administrative requirements.
• Maintain records of staff in accordance with standard operating procedures and legislative guidelines.
• Report any non-compliances, trends, data analysis, objectives, incidents to Project Manager.
• Act as a key resource for administrative services.
• Provision of reports, information & advice as required.
• Assist with orientation for incoming personnel.
• Work in accordance with posted rostering and maintain approved training standards as required.
• Assist in the general day to day operations of the facility as required.
• Ensure operational readiness of the facility relating to administration.
• Stay within restricted boundaries when responding to the on-call requirements.
• Attend or present training and briefing sessions when and as directed.
• Operate within the context of the facility’s Mass Casualty Incident Plan in designated role, or in other roles as directed by the Project Manager.
• Must comply with the Company’s and Client’s policies and procedures and Code of Conduct at all times.

Required education: Diploma, Associate's degree
Required relevant work experience: 5 years
Required languages: English (Spoken: fluent | Written: fluent)
