Equator Kenya is looking for an Operations Manager
Equator Kenya Limited is a small-medium size food processing company and exporter of chili peppers sourcing from small scale farmers at the coastal strip of Kenya. Based in Malindi, the company is looking for an Operations Manager that will run everyday company activities and supervise a team of 10 – 15 staff to ensure smooth operations covering different company areas like administration, finance, marketing, client management, processing, and exports, amongst others.The Operations Manager's role is mainly to develop and implement the right processes and practices across a small-medium size food processing organization. The specific duties of an Operations Manager include formulating strategy, improving performance, procuring material and resources, and securing compliance. The Operations Manager will act as the point of contact for all employees and senior management, providing administrative support, and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets), and organizing company records. The ideal candidate also has working knowledge of office management tools, food processing equipment & food safety and fleet management experience. Interaction with international clients, transport/sea freight, and interaction with freight forwarding agents. Ultimately, the candidate should be able to ensure that administrative activities run smoothly on a daily and long-term basis.   • Prepare regular staff, management, and client reports on expenses and office budgets
  • Prepare (financial) reports and presentations with statistical data, as assigned
  • Prepare and follow up on invoices and orders
  • Maintain and update company databases
  • Manage office supplies stock and place orders
  • Update and maintain office policies as needed and oversee the implementation 
  • Schedule in-house and external events (e.g. farmer training sessions, stakeholder meetings)
  • Distribute and store correspondence (e.g. letters, emails, and packages) and stock taking
  • Filing of important and confidential company documents
  • Answer queries by employees and clients
  • Arrange travel and accommodations, travel budgets, and travel cost accounting 

  • Proven work
    experience (minimum two years) as an Operations Manager, Administrator or
    similar role
  • Solid knowledge of office and (financial) accounting procedures
  • Experience with office management software (e.g. MS Excel and MS Word, specifically, MS PowerPoint)
  • Experience with financial accounting software (e.g. Sage, QuickBooks, Tally)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills
  • Attention to detail
  • Affinity with software/automation systems (ERPs)
  • Affinity with agriculture
  • Degree in Business
    Administration or Management; additional qualifications in Office Administration are a plus
  • Minimum CPA1 (or equivalent), higher-level is a plus
  • Duration of Contract: The duration of the contract is for one year from January 2021, with the option of renewal.
Working Location: The Operations Manager shall be based in Malindi.
