Job Summary

VSO is looking for a Program Coordinator.


Programme support and Delivery:
  • Ensure that projects are implemented in adherence to VSO global and national signature programmes, aligned to VSO/donor requirement and are in accordance with agreed annual and quarterly plans and budgets
  • Ensure Livelihoods projects deliver against agreed timeframes and project output and outcome targets/objectives
  • Coordinate quarterly project planning and review meetings with volunteers and partners both at community and national level
  • Identify potential partners, conduct partner assessments, placement reviews and organize partnership reviews.
  • Nurture & strengthen partnership developed and actively build and support networks between key stakeholders; ensure
  • Provide regular support to the expert Volunteers posted the various positions in existing projects
  • Coordinate research, assessment and evaluation activities for existing and potential projects

Budgeting and Forecasting: 
  • Develop annual and quarterly project plans and budgets plans and review monthly, ensuring compliance with VSO/ donor requirements.
  • Monitor expenditure against work plans and budget and Ensure that project burn rate corresponds with project work plans and project trackers reflect actual approved expenditures. Identify areas of variance and communicate to PM-L with suggested corrective actions
  • Lead budget reforecasts/phasing for existing projects
  • Ensure VSO’s financial and procurement requirements are adhered to by project team and partners

Monitoring and Evaluation:
  • Prepare project and programme narrative reports in a timely manner as required by VSO and donor guidelines.
  • Support the finance team in review of project financial reports and ensure timely submission to funding partners.
  • Conduct quarterly project support visits to partners and volunteers to strengthen working relationships and ensure quality standards are met; provide on the job coaching and support as needed
  • Manage and update project-specific data as regularly as required by VSO and project funder.
  • • With input and support from the M&E coordinator and share learning from programme activities throughout the year.
  • Actively document lessons learnt and success stories for programme learning and reporting.
  • Review and provide feedback to activity and monthly reports submitted by volunteers
  • Facilitate a culture of learning and knowledge sharing between staff, volunteers and partners

Volunteer Planning and Coordination
  • Coordinate the planning and preparation of volunteer placements and ensure that the programme office, donors, partners and volunteers are adequately prepared.
  • Develop and maintain a documentation system that contains up to date and accurate profiles of partners and volunteers as well as placement and partnership details
  • Ensure all necessary programme documentation is in place to enable volunteers to operate effectively and run smoothly e.g. placement descriptions, partnership agreements/reviews, in accordance with VSO’s policy guidelines.
  • Support other general aspects of VSO Uganda’s programme, including being a focal point for selected volunteers, assessing and developing partners and other general support roles.
  • Provide day to day remote support to the volunteers to ensure they feel well supported to effectively achieve their project placement objectives
  • Ensuring application of VSO people first principles in volunteer management and support
  • Conduct quarterly review meetings with volunteers

Other Duties:
  • Represent VSO at events and meetings as appropriate.

Assist and take leadership of the education programmes in the absence of the Programme Manager. Perform other duties as assigned by Programme Manager, HOPs or Country Director accordingly.
