Responsibilities

MAIN PURPOSE AND SCOPE OF THE JOB

Ensure collection,recording and reporting of all company financial transitions (inflow and outflow) including all legal obligations. Analyze the data to ensure the financial health of the business and thus assist the management in ensuring company growth and sustainability.


POSITION IN ORGANISATION

Reports To: Finance & Admin Manager

Budget Responsibilities: Annual Budget Compliance


DUTIES AND KEY RESPONSIBILITIES

1. Bookkeeping

a. All financial transactions are collected, approved and posted into the ERP

b. Information backup to ensure records are secure for up to 10 years

c. All financial documents must remain organized and easily accessible by management and auditors


2. Management Accounts (Mondays and the 5th deadlines)

a. Weekly bank reconciliations

b. Monthly cost accounting

c. Monthly sales reconciliation (invoiced vs payment)

d. Monthly stock reconciliation and quarterly stock takes and analysis

e. Weekly petty cash processing,reconciliation, reporting and auditing

f. Monthly supplier management including statement reconciliation with payments done on the 15th of each month

g. Monthly budget analysis


3. Payroll

a. Process monthly payroll by the 25th of each month

b. Bonus and Commissions processed as per company policy monthly and paid quarterly.


4. Cash Flow Management

a. Daily reconciliation of revenue

b. Weekly cash flow management

c. Communicate to the various stakeholders to ensure the smooth inflow and out flow is as required.Inform relevant stakeholder in good time in the event of any changes/variances
in schedules


5. Taxes

a. Compiles necessary documents for tax purposes and ensure that all actions comply with tax
legislation


6. Reports

a. Prepare weekly cash report

b. Prepare monthly Management Accounts Report

c. Prepare monthly budget variance report

d. Monthly analysis of the financial information and make recommendations to maintain the company’s financial health and security.

7. Audits

a. Quarterly internal audits

b. Prepare quarterly Financial Accounts Reports as per IFRS Standards

c. Co-ordinate and support annual audit process

SCORECARD CRITERIA AND TARGETS

1. Financial

  • Records are all available and stored safely for reference

  • Reports are submitted on time and accurate

  • Savings on expense budget

2. Growth & Customer

  • Monthly customer statements sent to Customers and Suppliers/Farmers by the 25th of each month

  • Cost Analysis done monthly

3. Business Process
  • Accounts controls are followed

  • Closure of monthly accounts in ERP by the 5th

4. People & Leadership
  • 80% satisfactory score on Peer Review


REQUIREMENTS

SKILLS AND ABILITIES

Self-motivation,Integrity, Ability to reflect on one's own work as well as the wider consequences of financial decisions, Business acumen and interest, Organizational skills and ability to manage deadlines, Teamworking ability, Communication and interpersonal skills, Proficiency in IT, Analytical ability, A methodical approach and problem-solving skills, A high level of numeracy and Attention to Detail


EXPERIENCE
  • Proven work experience as an Accountant of at least 3-5 years

  • CPAK qualification and registration

  • Hands on experience with ERP systems

  • Proficiency with MS Office Suite, particularly MS Excel

  • BS degree in Finance/Business/Economics or associates degree in relevant field a plus


KNOWLEDGE

  • In-depth understanding of accounting principles locally and internationally

  • In-depth understanding of Tax Law and Regulations


PERSONAL ATTRIBUTES AND OTHER REQUIREMENTS

  • Willing to occasionally work unsocial hours

  • Be a good team worker demonstrating loyalty and commitment to the organization and team members
