A. Background
GIZ has been working in Kenya on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) since 1975 and up to now implements programs in a wide variety of areas, including economic development, green energy, governance, food security, and peace and security.
The German Federal Ministry for Economic Cooperation and Development (BMZ) is our main commissioning party, but we also work closely with the private sector, fostering successful interaction between development policy and foreign trade. In the framework of the German Development Cooperation (GDC), GIZ cooperates closely with the German Development Bank, Kreditanstalt für Wiederaufbau, KfW, and other agencies.
GIZ supports capacity development for individuals, organisations and institutions, to enable the people to improve their lives through their own efforts. We have developed guidelines for pro poor development and carry out our projects in close cooperation with civil society on the basis of intergovernmental negotiations. The Office Nairobi seeks to hire an Intern to support the logistics department.
A.Responsibilities

B. Tasks
The Intern will perform the following tasks:
Logistics
- Prepare fuel consumption report from driver logbook as per the rules and regulations (P&R)
- Daily planning for drivers’ errands (office/director)
- Report any motor vehicle accidents/claims to insurance department in HQ
- Ensure up to date records on all comprehensive insurance claims
- Upload and register all new motor vehicles for comprehensive insurance by key-in information in the online insurance registration system and submit an email confirmation of the same
- Update existing database on renewals for 3rd party and comprehensive insurance
- Monitor and ensure all storage facilities are well organized and meet set standards
- Plan and coordinate files archiving to HQ
Facility management
- Daily monitoring office cleanliness, ensure they are up to set standards and report any corrective actions to service provider
- Monitor online boardroom reservations both within GIZ space and Kofisi-provided boardrooms
- Ensure Kofisi provided boardroom usage is within 50hours monthly provision
Health and Safety
- Bi-weekly check and report any health and safety observations within the sitting space as per health and safety report guidelines
Key Performance Indicators
- 6th of every month, submit fuel consumption analysis report with zero errors:
quarterly combine the electronic analysis report for approval and filling - Submit monthly report on vehicle status – comprehensive insurance renewal
application and updated vehicle data - Monthly report on weekly liaison with respective departments on need for
additional storage space to inform need for shipping/archiving - Bi-weekly visits to all offices to ensure 100% adherence to health and safety &
cleanliness standards
C. Profile
The Intern should have the following qualifications and competence.
Qualifications
Diploma or Degree in Logistics, Facility Management or Business Administration
Must have graduated not more than 12 months ago
Professional experience
- Conversant with MS Office
- Good communication skills
- Demonstrate organization and planning skills
- Flexibility and adaptability
- Able to work with minimum supervision
D. Duration of Assignment
The duration of the assignment will be 6 months.
E. Duty location
The duty location is Nairobi.
