About Westerwelle Startup Haus Mombasa

Westerwelle Startup Haus Mombasa is set to become the newest hub for innovation and entrepreneurship in the heart of Mombasa, joining the Westerwelle Foundation global network. Headquartered in Berlin, the foundation currently operates hubs in Rwanda, Tanzania, and Tunisia, and runs support programmes focused on business ideation, proof of concept, and international acceleration. The Finance and Operations Manager takes full responsibility & ownership for ensuring smooth operations in the startup Hub, working administrative procedures, and ensuring compliance with all financial, legal, and tax-related requirements. The Finance and Operations Manager reports directly to the local Country Director, as well as the Global Finance Manager from the Berlin office.

The Finance and Operations Manager reports directly to the local Country Director, as well as the Global Finance Manager from the Berlin office.


Responsibilities:

Finance:

  • Set up & implement financial processes to ensure all financial, tax, and legal obligations are met. Maintain financial policies and procedures for the Hub.
  • Create monthly financial statements including P&L accounts, cash flows, variance analysis and commentaries. Analyze financial information to assist business profitability and growth and provide recommendations to reduce costs and improve financial performance.
  • Review and improve accounting processes and practices to ensure efficient financial operations.
  • Manage program billing and support the programme team with financial aspects of programme reporting including invoice filing and report creation.
  • Taxes: Ensure compliance with tax regulations, timely remittance of taxes
  • Audit: Coordinate Annual audits with external partners, and ensure compliant audit is conducted on time.
  • Manage payments and payroll: Process and check invoices, upload invoices, initiate payment of invoices, and coordinate payroll with external partners to ensure accuracy and timely payments.
  • Bank Reconciliation: Data entry on Xero, monthly bank reconciliation on all accounts, managing petty cash, and monitoring bank accounts daily, flagging any suspicious activities to Country Director.
  • Invoicing: Handle all client invoicing (manual & Xero), and manage client receivables.
  • Budgeting: Draft and review monthly budgets in coordination with the Country Director. Contribute to the annual budgeting and planning process.

Operations:

  • Create and implement efficient processes to ensure the startup hub runs smoothly, cost-efficiently, and provides a great working environment for members.
  • Spearhead and implement administrative processes across the organization, Utilizing software tools such as Nexudus, Xero, Asana, and Office 365.
  • Quality Assurance: Regular checks of the space, and coordination with cleaning staff.
  • Maintenance: Create maintenance control systems, and ongoing monitoring to ensure maintenance of the hub.
  • Procurement: Select suppliers and negotiate the best rates, procure operational supplies, regular utility tracking, and orders.
  • Standard Operating Procedures (SOP): Set up & implement SOPs.
  • Administration: Physical filing, contract management, storage management, and other admin/back-office tasks.

Requirements:

  • Bachelor's degree in finance, Business Administration, or a related field. A professional accounting qualification (e.g., CPA, ACCA) is desired.
  • At least 3 years of experience in financial management, operations, and administration, preferably in a coworking space or similar environment.
  • Strong understanding of Kenyan tax laws and financial regulations.
  • Proficiency in using financial software like Xero and operational tools such as Asana.
  • Proven knowledge of financial forecasting, corporate finance, costing and information analysis
  • Excellent organizational skills, with the ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Strong leadership skills and the ability to supervise and train staff.
  • Excellent communication skills, both verbal and written, with proficiency in English; knowledge of Swahili is an advantage.
  • A proactive, creative mindset with a strong ability to engage and inspire a community.

Skills and Competences:

  • Strong negotiation skills for supplier and vendor management.
  • Ability to design and implement efficient operational processes.
  • Competence in using office and financial software (e.g., Xero, Asana, Office 365).
  • Excellent communication and interpersonal skills, with the ability to engage effectively with a diverse range of stakeholders.
  • Proficient in financial analysis, reporting, and project management tools such as Asana, Microsoft Project, or similar.
  • Strong analytical and problem-solving skills, with the capacity to implement KPIs and monitor financial success.
  • Ability to work in a fast-paced, high-growth environment, and think, plan, and execute resourcefully.
