Roles and Responsibilities.

✓ Greet HPG Kenya clients in a friendly and professional manner and set a positive office atmosphere

✓ Screen candidates by reviewing resumes and job applications, and performing phone screenings

✓ Sourcing and attracting candidates by using databases, social media etc

✓ Assess applicants’ relevant knowledge, skills, soft skills, experience to best suit open positions.

✓ Promoting HPG Kenya's reputation and attractiveness as a good employment opportunity.

✓ Assists with the interview process and ensure a comfortable interviewing environment.

✓ Attends and participates in college job fairs and recruiting sessions.

✓ Answer the phone, take messages, and redirect calls to appropriate offices.

✓ Organize and maintain files and records; update when necessary

✓ Create and maintain updated documents and spreadsheets

✓ Oversee sorting and distribution of incoming mail

✓ Prepare outgoing mail (envelopes, packages, etc.)

✓ Operate office equipment, such as photocopier, printers, etc.

✓ Organize bookkeeping and issue invoices/checks

✓ Record meeting minutes and dictations

✓ Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)

✓ Answer questions and address complaints

✓ Update calendars and Schedule and confirm appointments, meetings, and events.

✓ Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

✓ Create client database

✓ Handle clients’ accounts

✓ Coordinate clients’ service

✓ Collect detail information while client’s registration

✓ Create a client’s account with the HPG Kenya system.

✓ Determine the type of client (fresh/repeat) by checking the database.

✓ Maintain the client’s account with the HPG Kenya system.

✓ Prepare the client’s bill.

✓ Collect the balance amount of client bills.

✓ Generate reports

✓ Sell HPG Kenya services


Required Skills/Abilities:

✓ Excellent verbal and written communication skills.

✓ Excellent interpersonal skills with good negotiation tactics.

✓ Ability to create and implement sourcing strategies for recruitment for a variety of roles.

✓ Proactive and independent with the ability to take initiative.

✓ Excellent time management skills with a proven ability to meet deadlines.

✓ Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.

✓ Proficient with or the ability to quickly learn applicant-tracking software or other recruitment systems.

✓ Proficient with Microsoft Office Suite or related software.
