The Accountant is an integral member of organization’s Finance team, reporting to Chief Finance Officer.
Responsibilities
The Accountant is an integral member of organization’s Finance team, reporting to Chief Finance Officer.
Accounting & Finance
• Maintain, monitor, and manage funds from the project in accordance with the organization's & Kenya’s financial policies and procedures as outlined in the Finance and Accounting policies manual for country office, Finance Policy, Procurement Policy and any other policies.
• Examine financial documents such as invoices, vouchers, expense reports, purchase orders and other documents to ensure the completeness, accuracy, reasonability, and validity of financial data according to the organization and donor guidelines
• Preparing JV templates for upload to ERP on a monthly basis for all transactions
• Reconciliation of balance sheet control accounts on monthly basis and at year end.
• Review of bank reconciliation on a timely basis and conducting petty cash counts
• Assist the CFO in preparation of monthly financial report, accruals and projections, and any other financial reports for review.
• Prepare and update Budget Follow-Up reports for programs on a timely basis.
• Contributing to the implementation of improved financial systems and processes to facilitate better donor reporting and compliance.
• Contributing to regular grant monitoring, using appropriate grant management tools and through facilitation and support of regular and timely Grant Review, Opening, and Closing Meetings Reporting.
• Involved in developing and embedding best practices to comply with donor financial rules.
• Supporting donor proposal budgeting, analysis of institutional income, donor contract expenditure tracking.
• Review all grant/procurement activities for compliance with program policies and USAID regulations.
• Monitor grant activities during their implementation to ensure on-time and high quality delivery of goods and services; provide continuous assessments of grantee performance against project objectives.
• Ensure grants or contracts are well administered and that program and support teams are fully informed of relevant donor compliance regulations and organizations procedures to support on-track, on-time, and on-budget implementation
• Monitoring contractor and grantee performance to ensure compliance with the terms and conditions of award including review of financial status reports.
• Managing the necessary closeout processes
• Providing on-going assistance to sub-grantees to administer sub-agreement in compliance with all terms and conditions.
• Oversee pre-award and post-award activities include asset control, timely reporting and contract fulfilment to check against payment.
• Conducting Asset Verification exercises.
• Ensure grants or contracts are well administered and that program and support teams are fully informed of relevant donor compliance regulations and organizations procedures to support on-track, on-time, and on-budget implementation.
• Help Project staff in linking Grant Budget to Grant Work-plans, so that the activities to be undertaken in the projects matches to the budget.
• Ensure strict adherence to the approved budgets.
• Monitor and review activities to ensure that only budgeted costs have been incurred.
• Prepare analysis of grant expenditure for management action to help in monitoring the burn rate for grants and special projects.
• Assisting with donor and statutory audit through retrieval of sampled documents
• Perform other duties as assigned by the CFO.

Requirements
• Bachelor’s degree in business, finance, accounting or related field.
• Qualified Accountant and Member of Institute of Certified Public Accountants of Kenya
• Familiarity with institutional and other donor guidelines required.
• At least 3 years relevant working experience, at least 3 years within a donor funded non-profit organization.
• Audit experience will be an added advantage.
• Good communication and interpersonal skills.
• Knowledge of key donor requirements required.
• Ability to manage sensitive and confidential matters with the highest level of professionalism.
• Ability to manage competing priorities, exercise good judgment, identify, and resolve problems.
• Ability to work with minimal supervision.
• Ability to communicate financial information to a non-financial audience.
