The role

The Operations Coordinator role is central to the smooth running of the Novastar Nairobi office and the effective productivity of entire team.


Managing the office

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly i.e., office management, repairs & maintenance, office lease renewal;

  • Managing the office logistics and courier services, both internal & external i.e. couriering of documents and monitoring incoming mail and post;

  • Managing office purchases (local & International) and supplies such as office equipment, stationeries, office items, groceries and other incidentals;

  • Identify opportunities for process and office management improvements, and design and implement new systems;

  • Ensuring compliance with health and safety & other such policies.

People

  • Managing and overseeing the support staff;

  • Managing relationships with the landlord and other key stakeholders;

  • Preparing for, meeting and greeting visitors to the office, anticipating needs and setting a professional yet warm and welcoming tone;

  • Supporting the team at Novastar by scheduling the team’s calendar and coordinating travel itinerary, visas and accommodation and logistics support;

  • Working closely with counterparts in the Lagos and London offices;

  • Supervising vendors, i.e. provision of timely services & payments, e.g. IT-support, newspapers, courier services, caterers, etc.

Events

  • Assisting in executing events in close coordination with the rest of the Operations team, including weekly team lunches, office logistics and other team events.

Finance

  • Tracking, compiling and reconciling the team’s business and personal expenses and liaising with the Accountant for reconciliation and refund thereof;

  • Managing office petty cash and liaising with the accountant for reconciliation and replenishment;

  • Liaising with accounts on the renewal of domestic and assets insurance policies.

  • Making office utility payments

Skills & Qualifications

  • Over 4 years of experience in a hands-on role managing multiple tasks in a local or international firm;

  • Fluent in English;

  • Fluent in Microsoft Office applications - Word, Excel, PowerPoint, Outlook;

  • Experience in bookkeeping and managing office expenses is desirable;

  • Strong oral and written communications skills;

  • Exemplary planning and time management skills;

  • A strong communicator, both written and oral.
