Requirements

§ Bachelor’s in business administration, project management or Finance/Accounting/Economics or related field.§  3 years’ experience in general administration.

§  NGO experience is a must.§  CPA is an added advantage. Personal attributes and competencies§  Ability to solve complex issues, proactive thinker and anticipate challenges and plans for solutions.

§  Ability to Multi-task with attention to detail focused on the big picture and desired outcomes.

§  Excellent interpersonal skills, ability to work effectively with diverse stakeholders, and desire to thrive in a multi-cultural international environment.

1)      Theme Administration /Management

  • Coordination with PMU and FSU, coordinate the production of donor technical and financial reports, ensuring the quality and completion of the reports is according to donor requirements and CIFOR-ICRAF standards.
  • Provide management and administrative support to Soils Theme Leader to ensure smooth delivery of the required services that are directly linked to the Global research agenda.
  • Lead budget development during proposal development in collaboration with FSU and RM .
  • Act as focal point liaison person for the Soils Theme in all administrative matters and direct contact with the Centre’s HRU, FSU, PMU, Operations, Security etc. to ensure effective communication and collaboration between scientific and administrative units.
  • Coordinate with PMU start-ups (inception meetings) and closing phases of project management cycles for projects under Soils theme

2)      Finance Administration/ Managementa)       Theme

  • Developing, consolidating, and managing Annual Program of Work and Budgets (POWB) for the theme’s bilaterally funded projects, Center funds and Lab enterprise budgets to include updating as required for adjustments.
  • Budget management/ control of financial flows of projects, constantly monitoring expenses and cash flow (final balance and budget analysis).
  • Monitor the themes bilateral budgets portfolio to ensure appropriate burn rates against budgets versus expenditure.
  • Manage routine Annual, Biannual and Quarterly financial reporting for the theme projects as required by the donors and partners.
  • Monitor timeliness of technical and financial reporting for the theme and following up with Finance and PIs on any late and overdue reports

 b)       Soil-Plant Spectral Diagnostics Lab

  • Coordinate the settlement and posting of lab invoices in the Soil Lab enterprise budget.

 3)      Resource Administration/ Management

  • Act as focal point for the theme, handling internal enquiries for information, questions, and queries.
  • Coordinate with HR on staff and Consultancy contract matters,
  • Collaborate with protocol office to process renewal of work permits for IRS staff.
  • Any other task as maybe requested by the supervisor
