Responsibilities

A.            
Records Management

  1.  On board new matter and clients once approved by Managing Partner.

  2.  Set up and maintain databases and file records (in the registry, server &physical file) and maintain law libraries, correspondence, legal documents, andcase files.

  3.  Sort and distribute incoming mail, handle fax, emails, and arrange for service of legal/operations documents and correspondence to clients, witnesses, suppliers,
    partners and court officials.

  4.  Provide historical reference by developing and utilizing filing and retrieval systems; record meeting discussions; maintain transcripts; document and maintain evidence.

  5. Maintain client confidence by keeping client/advocate information confidential.

  6.  Providing training to staff who require access or have responsibility for maintaining
    records.

  7. Overseeing the switch from paper to electronic record-keeping.

  8.  Ensuring that firm data is protected and kept confidential.

  9.  Classifying and indexing records.

  10. Destroying or archiving finished data/records.

  11.  Ensuring that records are easily accessible when needed.

B.         Administrative

  1.  Maintains professional and technical knowledge by attending educational workshops;
    reviewing professional publications; establishing personal networks;
    participating in professional societies.

  2. Share information, know how and best practice with colleagues.

  3. Exercises sound judgement in the course of carrying out overall responsibilities and
    other activities assigned.

  4.   Adhere to and promote the firm’s equality and diversity policy.

  5.  Ensure the teams observation and successful implementation of policies and quality
    standards.
