The Document Control Officer maintains project documents. The Document Controller ensures that accurate information is distributed throughout the organization, on time, and to the people who need it. Document controller works with the technical team and provides technical project documents like blueprints and reports. The document controller will sort and store electronic and hard copy documents for the tenders & bidders, technical crew, project team, designers, surveyors, architects, and other colleagues.

The document controller will be administratively responsible for the documentation of all work the project unit undertakes both within, other departments and external clients on projects.




Responsibilities


The Document Control Officer maintains project documents. The Document Controller ensures that accurate information is distributed throughout the organization, on time, and to the people who need it. Document controller works with the technical team and provides technical project documents like blueprints and reports. The document controller will sort and store electronic and hard copy documents for the tenders & bidders, technical crew, project team, designers, surveyors, architects, and other colleagues.

The document controller will be administratively responsible for the documentation of all work the project unit undertakes both within, other departments and external clients on projects.




PRINCIPAL ACCOUNTABILITIES


  • Coordinates all activities related to the Document Control procedure and makes sure that it is been implemented in the system.

  • Determines company’s filing system, archiving /obsolete/superceding of all corporate documents

  • Makes sure that controlled copies of latest revision, approved documents and drawings are updated continuously and given to the end user.

  • Ensures that tender documents are compiled and prepared according to client’s specification.

  • Assigns and manages document reference numbering system / change request system to all the company documents.

  • Works closely with various project groups to ensure they achieve maximum efficiency of documents handling.

  • Liaises, when necessary, with client’s document control groups and ICT team to gain maximum support from ICT systems and capability.

  • Develops and implements measures that will be used to monitor projects adequately and ensure it meets expected business targets.

  • Performs other administrative responsibilities associated with the project and assigned by the management.

  • Provide QHSSE support to the project team.

  • Provide support to the business development unit.

REQUISITE QUALIFICATION AND EXPERIENCE

Minimum Educational Qualification: B.Sc ,B.A ,HND, it's equivalent. Minimum Experience: 3+ years experience in document control function.

Technical Knowledge Required:

  1. Sound knowledge of Microsoft office packages (Excel, word, etc)

  2. Sound knowledge of document viewer software (Adobe Flash, Adobe Acrobat, etc.)

  3. Sound knowledge EDMS (Engineering Document Management Software)

  4. Basic knowledge of database management system software.

  5. Good understanding of QHSSE Management System.
