POSITION PURPOSE:

To ensure the front desk welcomes guests positively, executes all administrative tasks to the highest quality standards, and makes guests feel comfortable and valued while on BF Suma premises.


KEY WORKING RELATIONSHIPS:

Internal Colleagues

  • Marketing Staff

  • Operations Office

External

  • Distributors

  • Trainers

  • Service Providers

Technical Knowledge/ Skills:

  • Computer Skills (PPt, Excel, and MS Word)

MINIMUM QUALIFICATIONS / REQUIREMENTS:

  • At least 1 year of proven experience in a similar role.

  • Even fresh graduates are highly encouraged to apply.

  • Diploma or Degree in secretarial, Business Management, Information Technology, or any other related field from a recognized institution

Technical

  1. Welcome, greet guests as soon as they arrive at the reception.

  2. Distinguish and direct visitors/distributor to the appropriate person or office they may need.

  3. Answer all incoming calls, screen them and forward to the appropriate person or person.

  4. Answering or referring distributors queries and concerns.

  5. Receive office letters, packages and other deliveries.

  6. Ensure reception area is tidy and presentable with all necessary stationary and other marketing materials such as posters and forms for promotion purposes.

  7. Arrange travel and accommodations, and prepare vouchers.

  8. Update calendars and schedule meetings

  9. Provide basic and accurate information in person and via phone calls or emails to the inquiring person.

  10. Issue out support materials to distributors in accordance to their requests or applications.

  11. Try to Source out and help country assistant managers with suppliers’ contacts.

  12. Try to involve in promotion and improve result.

  13. Actively engage in Jacaranda Club members, including greeting, get suggestions and useful info, sending gifts etc.

  14. Actively engage in the function preparations with other members as the committee may be set.

Perform any other assignment assigned by Management.
