Job Description

  • The Onboarding & Documentation Officer is responsible for communicating company and job role details to new hires, gathering necessary credentials for the role, and scheduling the new hires for their onboarding, and updating the internal database with the new hires information.
  • The individual occupying this role will work with the Outsourcing department to organize and facilitate MacTay’s/GML’s onboarding procedures for new outsourced hires.
  • The performance of the Onboarding & Documentation Officer will be measured along the agreed dimensions of the balanced score card using agreed KPIs.

Key Role
Onboarding:

  • Ensure invitations are sent to employees for onboarding indicating all necessary information
  • Ensure onboarding of employee (s) on stated days
  • Ensure accurate filling of information by the employees
  • Ensure Line Manager (s) are introduced to employees and the client of secondment is communicated to the employees.
  • Ensure Tax-IDs are generated for onboarded employees
  • Ensure HRIS is generated for onboarded employees & forwarded to account managers (HRBPs)
  • Ensure the compilation & forwarding of medical forms to the appropriate unit
  • Ensure the invitation or compilation & forwarding of onboarded employee details to PFA

Documentation:

  • Ensure processing and sharing of offer, disciplinary, exit & other letter request within 24 hours
  • Ensure employees are contacted when an incorrect information has been encountered during verification.
  • Ensure all onboarded employee’s documents are uploaded on SharePoint
