🎯 Role Overview

As a Tender / Bid Specialist, you will convert qualified opportunities into compelling, submission-ready proposals. You will play a key role in ensuring bids are clear, competitive, and fully compliant.

🧩 Key Responsibilities

• Write and develop tender responses, proposals, and supporting documents

• Analyse tender requirements and ensure 100% compliance

• Produce clear, structured, and persuasive content tailored to each opportunity

• Collaborate with sourcing, pricing, logistics, and bid strategy teams

• Manage templates, content libraries, and past submissions for reuse

• Handle multiple submissions while maintaining quality and meeting deadlines

⚡ Performance Expectations

• Deliver 3–5 high-quality proposals daily (depending on complexity)

• Maintain full compliance across all submissions

• Contribute to improved win rates through strong writing

🧠 Requirements

• Experience in bid/tender/proposal writing or strong professional writing background

• Strong understanding of tender structures and compliance

• Excellent writing, editing, and formatting skills

• Ability to manage multiple deadlines under pressure

• Familiarity with UN, NGO, or government tenders (preferred)

• Strong English communication skills

Key Responsibilities – Tender / Bid Specialist🔹 Proposal Development & Writing

• Lead the preparation and development of high-quality tender responses, technical proposals, and supporting documents

• Translate complex tender requirements into clear, structured, and compelling proposals

• Ensure all submissions are professionally written, logically structured, and aligned with client expectations

🔹 Tender Analysis & Compliance

• Review and analyse tender documents to identify key requirements, evaluation criteria, and submission guidelines

• Extract and organise technical, commercial, and compliance requirements

• Ensure 100% compliance with all tender specifications, formats, and submission instructions

• Maintain strict adherence to deadlines, templates, and document standards

🔹 Content Quality & Optimisation

• Produce persuasive, concise, and professional content tailored to each opportunity

• Customise proposals based on client needs, sector standards, and evaluation frameworks

• Continuously improve content quality to increase competitiveness and win probability

• Ensure consistency in tone, branding, and messaging across all submissions

🔹 Cross-Functional Collaboration

• Work closely with internal teams including:

• Bid Strategy & Qualification Lead

• Develop, maintain, and update:

🔹 Submission Management

• Prepare final proposal documents for submission, ensuring accuracy, completeness, and professionalism

• Manage multiple bids simultaneously while maintaining high quality and attention to detail

• Ensure all submissions are delivered on time without exception

🔹 Performance & Continuous Improvement

• Contribute to achieving higher tender win rates through strong writing and structured responses

• Identify areas for improvement in proposal quality, efficiency, and processes

• Support the development of best practices in bid writing and tender execution
