Description
Key Duties and Responsibilities
1. Executive Office Management
- Manage the RCFO's calendar, appointments, meetings, and travel schedules.
- Coordinate and prioritize appointments to ensure effective utilization of the RCFO's time.
- Screen incoming calls, correspondence, invitations, and meeting requests.
- Prepare daily schedules and briefing notes for the RCFO.
- Organize logistics for executive meetings, workshops, and strategic planning sessions.
- Ensure the RCFO is adequately prepared for meetings through provision of relevant documentation and background information.
2. Correspondence and Communication Management
- Draft and review professional correspondence, emails, reports, presentations, and memoranda for the RCFO.
- Handle confidential communications and sensitive information with the highest level of discretion.
- Act as the primary liaison between the RCFO and:
- Group CFO Office
- Finance Leadership Team
- Plant CFOs
- Functional Heads
- External Auditors
- Regulatory Authorities
- Financial Institutions
- Consultants and External Stakeholders
- Follow up on communications and ensure timely responses.
3. Meeting Coordination and Governance
- Coordinate Finance Leadership meetings, Management meetings, Budget Review meetings, and Board-related finance activities.
- Prepare agendas, meeting materials, presentations, and discussion papers.
- Attend meetings as required and record accurate minutes.
- Maintain action trackers and monitor implementation of decisions.
- Follow up with responsible managers to ensure timely completion of agreed actions.
- Maintain a repository of meeting minutes and resolutions.
4. Reporting and Executive Support
- Assist in the preparation of:
- Monthly Finance Performance Reports
- Budget Review Reports
- Quarterly Business Reviews
- Financial Presentations
- Board Papers
- Executive Committee Reports
- Strategy and Performance Dashboards
- Consolidate information from various Finance units for executive review.
- Support the RCFO in tracking key financial and operational KPIs.
5. Project Coordination and Follow-Up
- Coordinate strategic initiatives and special projects assigned by the RCFO.
- Monitor project timelines and deliverables across finance departments.
- Follow up on assignments issued by the RCFO to ensure closure.
- Escalate delays or bottlenecks to the RCFO where necessary.
- Maintain project status reports and executive dashboards.
6. Stakeholder Management
- Build and maintain effective working relationships with stakeholders across Dangote Cement operations.
- Facilitate communication between Head Office Finance and plant finance teams.
- Coordinate interactions with:
- Internal Audit
- Treasury
- Accounts Payable
- Accounts Receivable
- Tax
- Procurement
- Human Assets Management
- External Regulators
- Ensure professionalism in all engagements representing the RCFO’s office.
7. Travel and Event Management
- Coordinate domestic and international travel arrangements for the RCFO.
- Manage travel itineraries, accommodation, transportation, and visa requirements where necessary.
- Prepare travel packs, briefing notes, and meeting schedules.
- Process travel expense documentation and reimbursement requests.
8. Document and Records Management
- Maintain secure filing systems for executive records.
- Ensure proper archiving of finance reports, approvals, correspondence, and strategic documents.
- Manage electronic and physical records in compliance with company policies.
- Maintain confidentiality of all executive and finance documents.
9. Administrative and Operational Support
- Coordinate office activities within the RCFO Office.
- Track executive approvals and ensure timely routing of documents.
- Monitor departmental correspondence and workflow.
- Support budget administration for the RCFO Office.
- Coordinate procurement and administrative requests for the office.
10. Confidentiality and Information Security
- Handle highly confidential financial, business, and personnel information.
- Ensure compliance with Dangote Cement policies regarding information security and data protection.
- Maintain strict confidentiality regarding strategic decisions, financial results, acquisitions, restructuring initiatives, and executive communications.
Key Performance Indicators (KPIs)
Performance may be measured against:
- Executive calendar effectiveness.
- Timeliness of meeting preparation.
- Quality and accuracy of reports.
- Closure rate of RCFO action items.
- Stakeholder satisfaction.
- Timeliness of correspondence management.
- Accuracy of meeting minutes.
- Timely follow-up and escalation of critical issues.
- Compliance with confidentiality requirements.
- Effectiveness of document management processes.
Educational Qualifications
Minimum Requirement
- Bachelor's Degree or HND in:
- Accounting
- Business Administration
- Economics
- Finance
- Management Sciences
- Information Technology
- Related Discipline
Experience Requirements
- Minimum of 5 to 8 years relevant experience in Executive Assistance, Corporate Administration, or Finance Administration.
- Prior experience supporting C-suite executives is highly desirable.
- Experience within a finance, banking, manufacturing, or multinational environment is an added advantage.
- Exposure to Board, Executive Committee, or senior management support activities.
Technical Competencies
- Advanced Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Strong PowerPoint presentation development skills.

- Coordinate executive meetings and finance leadership engagements.
