Key Responsibilities:

1. Reception and Guest Services:

  • Greet and welcome visitors, parents, and participants with a warm and friendly demeanour.
  • Please provide information about the organization, its programs, and upcoming events.
  • Answer inquiries in person, over the phone, and direct calls to the appropriate personnel.
  • Maintain a clean and organized front desk area.

2. Administrative Support:

  • Assist with general administrative tasks, including photocopying, filing, and data entry.
  • Handle incoming and outgoing mail, as well as deliveries.
  • Ensure office supplies are adequately stocked and reorder when necessary.
  • Assist in scheduling appointments and managing calendars for staff as needed.

3. Participant Registration:

  • Facilitate the registration process for new participants, ensuring all required documentation is completed accurately.
  • Maintain participant records and files in an organized and confidential manner.

4. Event and Program Support:

  • Assist in coordinating events, workshops, and classes by managing registrations, distributing materials, and providing logistical support.
  • Collaborate with program coordinators to ensure a smooth check-in and check-out process for participants during events.

5. Security and Safety:

  • Monitor visitor access and maintain security by following organization protocols.
  • Report any safety concerns or incidents promptly to the appropriate personnel.

6. Communication:

  • Relay important information and announcements to staff, participants, and parents as directed.
  • Manage email inquiries and respond to routine inquiries professionally and promptly.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Previous experience in a front desk or customer service role is preferred.
  • Excellent verbal and written communication skills in English.
  • Proficiency in using computer software, including Microsoft Office Suite.
  • Strong interpersonal skills, with the ability to interact courteously and professionally with diverse individuals.
  • Ability to multitask, prioritize, and handle a variety of tasks efficiently.
  • Maintains a neat and professional appearance.

Additional Information:

  • This is a full-time position with regular office hours.
  • The Front Desk Officer may occasionally be required to work during weekends or evenings to support special events and programs.
