About the Role 🎯
We are seeking a detail-driven and proactive Billing Specialist to manage the end-to-end legal billing process, ensuring the accuracy, timeliness, and full compliance of client invoices. In this role, you will work closely with attorneys, paralegals, clients, and the Finance Department to maintain billing integrity, support collections, and adhere strictly to client billing guidelines and engagement agreements.

Modality: 100% On site
Schedule: Monday to Friday, 11:00 am - 7:00 pm CT
Language Requirements: Advanced English (C1)
Key Responsibilities 📝
Invoice Preparation & Review: Prepare, review, and process client invoices based on time entries, expenses, and agreements, ensuring compliance with Outside Counsel Guidelines (OCGs) and firm policies.
E-Billing Management: Submit invoices through electronic billing platforms, and monitor invoice status, rejections, reductions, and appeals through client portals.
Discrepancy Resolution: Resolve billing issues by coordinating with legal teams and finance personnel; process approved adjustments, write-offs, and credits.
Accounts Receivable Support: Assist with A/R management, follow up on outstanding balances, and prepare billing/A/R reports for leadership.
Financial Close & Optimization: Support month-end and year-end closing activities related to billing and identify opportunities to improve operational efficiency.
Requirements 🔎
Education: Associate's or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Experience: Minimum of 2 years of billing experience, ideally within a law firm, legal services, or professional services environment.
Technical Skills: Proficiency in Microsoft Excel/Office Suite, familiarity with legal billing software (e.g., Elite 3E, Aderant, ProLaw, Clio), and knowledge of e-billing portals.
