About the Role

Reporting directly to the Chief Executive Officer, the Executive Assistant serves as a trusted strategic partner and operational anchor to the CEO, ensuring the effective coordination of the Executive Office and enabling the CEO and Senior Leadership Team (SLT) to operate at the highest level of efficiency and impact.

The role combines executive office management, strategic coordination, governance support, and leadership facilitation. Acting as the CEO’s right hand, the Executive Assistant ensures alignment across leadership initiatives, supports executive decision-making processes, and strengthens follow-through on strategic priorities.

The position requires exceptional discretion, executive presence, and strong organizational acumen, as the Executive Assistant will regularly engage with senior leadership, the Board of Directors, and key stakeholders. The role also plays a critical part in reinforcing organizational culture, leadership accountability, and execution discipline across the hospital.

Responsibilities
Executive Office & CEO Support
  • Manage and prioritize the CEO’s schedule, ensuring optimal alignment with strategic priorities and operational demands.

  • Coordinate high-level meetings, engagements, and leadership forums, including preparation of agendas, briefing materials, and minutes.

  • Prepare executive correspondence, speeches, presentations, and reports on behalf of the CEO.

  • Manage executive communications and ensure timely responses to key internal and external stakeholders.

  • Coordinate travel arrangements, logistics, and engagements for the CEO.

Strategic Coordination & Leadership Alignment
  • Support the CEO in tracking and coordinating strategic initiatives, leadership priorities, and key organizational projects.

  • Maintain executive dashboards and trackers to monitor progress of CEO and SLT action items and ensure timely follow-up.

  • Facilitate communication and alignment between the CEO and the Senior Leadership Team.

  • Support planning and coordination of leadership meetings, executive retreats, and strategic planning sessions.

Board & Governance Support
  • Coordinate Board of Directors’ meetings including preparation of board packs, documentation, and logistics.

  • Manage the full lifecycle of board engagements from scheduling through post-meeting follow-up on resolutions and action items.

  • Ensure governance documentation and executive communications are handled with strict confidentiality and professionalism.

Stakeholder Engagement & Communication
  • Serve as a central liaison between the CEO and internal departments, external partners, regulators, and key stakeholders.

  • Build and maintain strong working relationships across the organization to facilitate smooth executive operations.

  • Support management of high-level stakeholder requests, complaints, and escalations.
Executive Decision Support
  • Conduct research, gather information, and prepare analytical summaries to support executive decision-making.

  • Monitor submission of departmental reports required by the CEO and ensure timely follow-up on pending deliverables.

  • Prepare periodic executive briefings highlighting key updates, risks, and pending actions.

Leadership Effectiveness & Culture Reinforcement
  • Support the CEO in reinforcing professional standards, collaboration, and accountability across leadership teams.

  • Facilitate structured follow-up on decisions taken during executive and leadership meetings.

  • Promote efficient executive office systems that strengthen coordination, transparency, and execution discipline.

Qualifications
  • Bachelor’s Degree in Business Administration, Management, Communications, or a related field.

  • Minimum 5 years’ experience supporting C-level executives or senior leadership teams in a complex organization.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.

  • Demonstrated experience supporting board governance processes and executive office coordination.

  • Strong analytical, reporting, and presentation preparation skills.
