Description
The Accounts Assistant is responsible for supporting the finance department in maintaining accurate financial records, processing transactions, reconciling accounts, and ensuring proper documentation of all financial activities in accordance with company policies and accounting standards.
Required Skills & Competencies

- Good knowledge of Excel and accounting software (e.g. QuickBooks, Sage)

Responsibilities
- Bookkeeping & Records: record daily financial transactions in accounting systems or excel, maintain accurate ledgers for income and expenses, file and organize financial documents properly.
- Accounts Receivable & Payable: track customer payments and outstanding balances, issue invoices, receipts, and payment reminders & assist in processing supplier payments
- Bank & Cash Reconciliation: reconcile bank statements with company records, monitor cash flow and report discrepancies, assist in petty cash management
- Administrative Support: support budgeting and expense tracking, maintain financial filing systems (physical and digital) & perform other finance-related duties assigned
- Reporting: prepare daily, weekly, and monthly financial reports, assist in preparing management accounts, support audit processes by providing required documents, assist in preparing management accounts & support audit processes by providing required documents.
- Rent & Service Charge Billing: Generating monthly invoices for tenants and tracking payments across multiple properties.
Utility Reconciliation: Managing and reconciling payments for shared utilities like water, electricity, and security services.
- Vendor Payments: Processing payments for contractors, landscapers, and maintenance crews.
Lease Management: Tracking security deposits and ensuring they are refunded or applied correctly upon lease termination.
- Property Tax & Insurance: Assisting in the preparation of documents for land rates, rent, and property insurance premiums.
Loan Disbursement: Processing approved loan applications and ensuring funds are transferred to clients accurately.
- Repayment Tracking: Monitoring daily collections from loan officers or digital payment platforms and reconciling them against client ledgers.
Statutory Compliance: Ensuring timely filing of taxes and adherence to Central Bank or microfinance regulatory reporting.
- Petty Cash Management: Handling small cash reserves for branch operations and field staff expenses
- Arrears Monitoring: Generating reports on non-performing loans and flagging overdue accounts for the credit department.
