RESPONSIBILITIES/RESULT AREAS
Vendor Contracts Management
Support the drafting, review, and administration of vendor contracts in collaboration with ITD subject matter experts, and Procurement teams.
Maintain a central repository of contracts, ensuring timely renewals, amendments, and compliance with agreed terms.
Coordinate service reviews to track contract milestones, deliverables, and Service Level Agreements (SLAs).
Ensure all vendor engagements adhere to organizational policies, regulations, and risk management frameworks.
B. Vendor Management
Monitor and evaluate vendor performance against agreed SLAs and Key Performance Indicators (KPIs).
Prepare periodic vendor performance reports for management review.
Facilitate vendor performance review meetings and follow up on corrective action plans.
Support in vendor risk assessment, compliance checks, and escalation of performance or compliance issues.
Build and sustain effective vendor relationships to drive service quality and value.
C. Budgeting & Financial Monitoring
Support the preparation of annual budgets for IT.
Monitor actual spend against budget, highlighting variances and recommending corrective measures.
Track and report on contract-related expenditures, payment schedules, and financial commitments.
Provide input for financial forecasts and assist in optimizing vendor-related costs.
D. Reporting & Compliance
Generate regular reports on contract status, vendor performance, and budget utilization.
Ensure compliance with internal policies, procurement guidelines, and external regulatory requirements.
Support internal and external audits related to vendor contracts and management.
Key Deliverables
Updated vendor contract repository with clear visibility of obligations and renewal timelines.
Regular vendor performance dashboards and reports.
Accurate monitoring of CAPEX and OPEX spends with variance analysis.
Compliance with contract terms, SLAs, policies and legal requirements.
Enhanced vendor value delivery and cost optimization.
ACADEMIC AND PROFESSIONAL QUALIFICATIONS AND KNOWLEDGE
Bachelor’s Degree in Business, Finance, Procurement, Information Technology, or related field.
Must be currently pursuing or possess certification in any of the following: ITIL, COBIT, Chartered Institute of Procurement and Supply (CIPS), or Project Management.
YEARS AND NATURE OF EXPERIENCE
At least three (3) years’ experience in IT Governance and Service Management functions such as Vendor Management, Contract Administration, or Financial Monitoring.
Familiarity with IT Service Delivery, Budgeting Processes, and Procurement Guidelines.
Experience in accounting functions is an added advantage.
Familiar with Enterprise Software such as Oracle, SAP or Navision.
Demonstrated excellent working knowledge in Microsoft Excel and Word.
