KEY ACCOUNTABILITIES

HR Strategy, Policy and Planning

  • Develop and implement HR strategies aligned to organisational goals and objectives.
  • Formulate and review HR policies, procedures and programmes, ensuring compliance with employment law and regulation.
  • Identify HR trends and best practice and recommend improvements.
  • Contribute to workforce planning, organisational design and the annual people budget.

Recruitment and Employee Lifecycle

  • Collaborate with hiring managers to define role requirements and review job descriptions.
  • Source, screen and select candidates through appropriate recruitment channels.
  • Conduct interviews, assessments, background and reference checks.
  • Prepare employment letters and contracts and ensure joining documentation is collected and verified.
  • Coordinate onboarding, induction, probation and confirmation processes.
  • Manage attachments, internships and employee separations, including clearance, final dues and certificates of service.
  • Conduct exit interviews and report on turnover drivers.

Employee Relations and Performance Management

  • Handle employee grievances, mediate conflict and conduct investigations.
  • Advise managers on disciplinary matters and ensure due process.
  • Promote positive employee relations through communication and engagement initiatives.
  • Develop and implement performance management programmes, including goal setting, appraisal and feedback mechanisms.
  • Provide coaching and support on performance-related matters and manage performance improvement processes.

Compensation, Benefits and Payroll

  • Administer compensation and benefits programmes, including salary, incentives, statutory contributions and employee benefit schemes.
  • Conduct salary benchmarking and coordinate annual salary reviews.
  • Administer medical, group life, WIBA and pension arrangements.
  • Update payroll changes and process payroll and exception reports for review and approval.
  • Ensure PAYE, SHIF, NSSF, Affordable Housing Levy, NITA and pension contributions are computed, filed and remitted by statutory deadlines.
  • Reconcile payroll records and ensure payslips and P9 certificates are issued.

Training and Development

  • Coordinate training needs and appropriate learning interventions.
  • Support career development and succession planning.
  • Design, develop and publish courses on the Learning Management System (LMS).
  • Maintain the course catalogue, learning paths, user accounts, enrolment, scheduling and training records.

HR Systems, Compliance and Records

  • Oversee HR information systems and databases and generate reports to identify trends and insights.
  • Ensure data accuracy, confidentiality and compliance with the Data Protection Act 2019.
  • Maintain employee records and support HR audits and investigations.
  • Establish and maintain orderly, current and retrievable physical and electronic HR filing systems.
  • Control access to sensitive personnel records and apply records retention requirements.

Internal Communication and Employee Engagement

  • Act as the principal drafter of company memoranda, internal circulars and staff notices.
  • Communicate new and revised policies and coordinate staff announcements.
  • Manage HR content on staff noticeboards, the intranet and Company distribution lists.
  • Plan employee events, team-building activities, wellness initiatives and engagement surveys.

Occupational Safety and Health

  • Act as the Company’s occupational safety and health focal point and secretary to the Workplace Safety and Health Committee.
  • Convene quarterly Committee meetings and maintain minutes and action logs.
  • Ensure workplace registration with DOSH is current.
  • Coordinate fire safety audits, fire drills, evacuation procedures and training of fire marshals.
  • Maintain hazard identification, risk assessments and accident and incident registers, and investigate incidents and near misses.

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s degree in human resource management, business administration, social sciences or a related discipline.
  • Higher National Diploma in Human Resource Management or CHRP, or an equivalent professional qualification.
  • Current member of the Institute of Human Resource Management (IHRM) with a valid practicing certificate.
  • A postgraduate qualification in a relevant field is an added advantage.
  • At least six (6) years’ progressive experience in human resources, including at least two (2) years are at supervisory or managerial level.
  • Experience in financial services, insurance, actuarial or professional services is an added advantage.

TECHNICAL COMPETENCIES

  • Knowledge of Kenyan employment and labour laws.
  • Understanding of SHIF, NSSF, PAYE, Affordable Housing Levy and NITA requirements.
  • Knowledge of employee data protection requirements.
  • Understanding of occupational safety, DOSH, audits and reporting.
  • Proficiency in payroll and HR information systems.
  • Strong spreadsheet, analysis and reporting skills.
  • Knowledge of Learning Management Systems and basic instructional design.
