Responsibilities

The Junior Accounting Specialist is responsible for:

  • Ensuring that the service in the department is provided correctly and in accordance with GIZ financial management and accounting procedures.



Tasks

1. Responsible for Bank operations

  • Daily bank book and statement reconciliations and report, correct anomalies promptly e.g when there is short fall or excess cash positions.

  • Ensuring all payments are appropriately approved, coded, calculations strips, supporting documents, payment stamps, received in finance stamp and charged correctly to the respective project number

  • Submit vouchers to accountants for booking regularly i.e vouchers submitted should agree with those listed in the e-cash and bank books

  • Plan and request for funds for projects and GIZ Office.

  • Ensuring funds drawn from letter of credit LC are transferred to project in good time.

  • Office and special Letters of credit record maintenance.

  • Processing withholding tax promptly.

  • Facilitating requests for bank accounts opening/closing, updating bank mandates and safe keeping of all bank correspondences.


2. Responsible for Cash office operations

  • Management of office cashbox, payments made without delay for approved and properly prepared vouchers, coding, relevant and adequate support documents
  • Daily reconciliations of physical and cash book balances according to the GIZ cash management rules and report i.e when there is surplus or deficit.
  • Ensure no new advances to persons with outstanding advances
  • Follow up on accounts receivables and payables
  • Ensure constant updating and adherence to cash agreements
  • Checking invoices/bills before payments processing.

3. Communication

  • Regular communication with clients – internal and external

4. Other Tasks

  • Any other duties as may be assigned by the head of department.

Required qualifications, competences and experience.

Qualifications

  • First degree in Accounting, Finance, Business administration or related field.

  • Professional qualification in accounting, at least intermediate/ level 2 in CPA or ACCA
    and pursuing advanced level.

Professional experience

  • Minimum of 3 years of professional working experience in a similar position/organisation
    is preferred.

Other knowledge, additional competences

  • Knowledge of GIZ instruments and procedures will be an added advantage.

  • Good organisational skills and attention to detail, precision and reliability.

  • Team orientated approach.

  • Good interpersonal communication skills

  • Good working knowledge of computer and accounting applications e.g. MS Office,
    especially Excel and SAP.

  • Good English command.

  • Willingness to upskill as required by the tasks to be performed
