JOB RESPONSIBILITIES


  • Record details of assets, including asset number, description, purchase date, cost, location, condition, and person/department assigned.
  • Tag and identify company assets with appropriate asset numbers or identification labels.
  • Monitor the movement, transfer, allocation, and disposal of company assets.
  • Ensure that vehicles, trucks, motorcycles, equipment, and other operational assets are properly documented.
  • Track vehicle and equipment ownership documents, registration, insurance, licenses, and other relevant documents.
  • Monitor the condition and utilization of company assets and report damaged, missing, idle, or underutilized assets.
  • Coordinate with the Maintenance Department to ensure timely servicing and repairs of vehicles and equipment.
  • Maintain records of vehicle maintenance, repairs, mileage, fuel usage, and other relevant operational information where applicable.
  • Conduct periodic physical verification and inventory checks of company assets.
  • Investigate and report discrepancies between physical assets and asset records.
  • Prepare reports on asset movements, condition, utilization, losses, damages, and disposals.
  • Ensure that assets are properly handed over to employees, drivers, branches, or departments using appropriate documentation.
  • Monitor assets assigned to staff and ensure proper accountability upon transfer, resignation, or termination.
  • Assist in the procurement and registration of new assets.
  • Work with the Finance Department to ensure that asset purchases and disposals are properly recorded.
  • Assist with asset valuation, depreciation schedules, and reconciliation where required.
  • Ensure proper documentation and approval for the disposal, sale, transfer, or write-off of company assets.
  • Report cases of theft, loss, misuse, or unauthorized disposal of company assets to management.
  • Ensure compliance with company asset management policies and procedures.
  • Maintain proper filing of asset-related documents.
  • Perform other duties assigned by management.
Transport-Specific Responsibilities
  • Maintain accurate records of all company vehicles, trucks, buses, motorcycles, and other transport equipment.
  • Track vehicle registration, insurance, roadworthiness certificates, permits, and renewal dates.
  • Monitor vehicle allocation to drivers and branches.
  • Maintain records of vehicle mileage and maintenance history.
  • Track Trucks that are operational, under repair, idle, or out of service.
  • Liaise with drivers and the Maintenance/Workshop team regarding vehicle condition and repairs.
  • Conduct periodic physical inspection of Trucks and transport equipment.
  • Report unauthorized use, misuse, accidents, damages, or missing vehicle accessories.
  • Ensure that vehicle handover and return procedures are properly documented.
  • Prepare periodic fleet and asset status reports for management.
Requirements and Qualifications
  • B.Sc. or HND in Accounting, Finance, Business Administration, Estate Management, Logistics, or a related field.
  • 2–4 years of relevant experience in asset management, inventory control, administration, finance, logistics, or transport operations.
  • Experience in a transport, logistics, haulage, or fleet management company is an advantage.
  • Good knowledge of asset management and inventory control procedures.
  • Good knowledge of Microsoft Excel and asset/accounting software.
  • Strong record-keeping and organizational skills.
  • Good numerical and analytical abilities.
  • Excellent attention to detail.
  • Good communication and interpersonal skills.
  • Ability to conduct physical asset verification and inspections.
  • High level of integrity, accountability, and confidentiality.
  • Ability to work independently and coordinate effectively with different departments.
