HR & Operations Manager
Description
HR & People Management:
- Manage and coordinate the end-to-end recruitment process, including manpower planning, sourcing, job postings, interview coordination, candidate communication, background verification, onboarding, and induction.
- Coordinate employee joining, probation confirmation, transfers, promotions, and exit processes.
- Maintain complete, accurate, and confidential employee records, contracts, and HR documentation.
- Manage employee attendance, leave administration, shift schedules, overtime, and timesheets.
- Coordinate payroll inputs with the Accounts Department, ensuring accurate and timely salary processing.
- Ensure proper administration of statutory deductions and employee-related compliance requirements.
- Develop, implement, and periodically review HR policies, procedures, SOPs, and the Employee Handbook.
- Coordinate employee orientation, training, performance management, and learning and development initiatives.
- Drive employee engagement, welfare, recognition, and team-building activities.
- Handle employee queries and provide guidance on HR policies, benefits, and workplace practices.
- Support Management in handling disciplinary matters, grievances, and employee relations issues.
- Promote a positive, professional, accountable, and collaborative workplace culture.
- Monitor employee performance and ensure compliance with company policies and procedures.
- Identify staffing and training needs and make recommendations to Management.
Operations & Administration:
- Oversee the day-to-day operations and administration of the wellness center to ensure smooth and efficient service delivery.
- Coordinate the activities of all departments, including Front Office, Spa, Medical, Yoga, Housekeeping, Maintenance, Security, Retail, and Support Services.
- Monitor daily schedules, appointments, therapist allocations, room utilization, and departmental workflows.
- Develop, implement, monitor, and enforce Standard Operating Procedures (SOPs) across relevant functions.
- Ensure that operational resources, supplies, equipment, and consumables are available when required.
- Manage the procurement of office supplies, housekeeping materials, therapy consumables, and other operational requirements.
- Prepare administrative and operational reports for Management.
- Monitor operational expenses and identify opportunities for cost efficiency.
- Coordinate meetings, prepare agendas, document minutes, and follow up on agreed action points.
- Coordinate travel arrangements, accommodation, and logistics for visiting trainers, clients, Management, and other stakeholders.
- Support the planning and execution of wellness programs, workshops, corporate events, exhibitions, and outreach activities.
- Ensure effective communication and coordination between departments.
Facilityy & Maintenance Management:
- Oversee the general condition, functionality, and presentation of the wellness center.
- Coordinate the maintenance of facilities, equipment, utilities, guest house, and company vehicles.
- Liaise with contractors, technicians, and service providers to ensure timely completion of maintenance and repair works.
- Monitor preventive maintenance schedules and ensure issues are addressed promptly.
- Ensure the center consistently maintains high standards of cleanliness, hygiene, safety, and presentation.
- Monitor the overall ambience of the center, including lighting, music, aroma, temperature, cleanliness, and general appearance.
- Ensure that staff comply with facility, safety, and operational standards.
Procurement, Vendor & Inventory Management:
- Coordinate procurement activities, including vendor sourcing, selection, quotations, purchase orders, and delivery.
- Develop and maintain effective relationships with suppliers, contractors, and service providers.
- Negotiate with vendors to achieve competitive pricing, quality, and timely delivery.
- Monitor vendor performance and ensure compliance with agreed service standards.
- Monitor inventory levels and ensure timely replenishment of operational supplies.
- Maintain accurate records of stock movement, purchases, deliveries, and inventory balances.
- Support retail operations by ensuring optimal stock levels and accurate inventory records.
- Coordinate vendor sales reconciliation and ensure discrepancies are identified and resolved.
- Work with Accounts to ensure timely processing and payment of approved vendor invoices.
- Identify opportunities to reduce procurement costs without compromising quality.
Customer Experience & Service Excellence:
- Ensure clients receive a high standard of service from arrival through departure.
- Engage with walk-in clients, understand their needs, explain available wellness services and retail offerings, and support conversion into sales.
- Conduct professional tours of the wellness center for prospective and existing clients.
- Monitor front-office operations, customer handling, staff presentation, discipline, and professionalism.
- Handle customer complaints and service issues promptly, professionally, and effectively.
- Monitor customer feedback and identify recurring service issues or opportunities for improvement.
- Implement initiatives to improve customer satisfaction, retention, and overall service experience.
- Coordinate with department heads to resolve service gaps and improve service delivery.
- Maintain a warm, welcoming, organized, and professional environment for members, guests, and visitors.
- Support customer engagement and business development initiatives where required.
Compliance & Documentation:
- Maintain accurate and confidential HR, administrative, operational, and compliance records.
- Ensure timely renewal of business licenses, permits, insurance policies, certifications, and statutory registrations.
- Maintain updated SOPs, policy manuals, contracts, employee records, and compliance documentation.
- Ensure compliance with applicable labor laws, health and safety requirements, statutory regulations, and company policies.
- Coordinate internal and external audits and ensure timely closure of audit observations.
- Monitor departmental compliance with established policies, procedures, and operational standards.
- Identify compliance gaps and recommend appropriate corrective actions to Management.
Events & Business Support:
- Coordinate and oversee events hosted within the wellness center and external events where the organization is represented.
- Support the planning and execution of wellness programs, workshops, exhibitions, corporate events, and outreach activities.
- Coordinate logistics, staffing, vendors, facilities, and customer experience for events.
- Represent the wellness center professionally during external events and promotional activities.
- Support Management and other departments with operational planning and execution of strategic initiatives.
- Identify opportunities to improve customer engagement and contribute to revenue-generating activities.
Requirements
- Bachelor's Degree in Human Resources, Business Administration, Management, Hospitality, Operations Management, or a related discipline.
- Minimum of 10 years of relevant professional experience, with significant experience in a managerial or supervisory capacity.
- Proven experience managing both HR and business operations.
- Experience in wellness, healthcare, hospitality, fitness, beauty, luxury services, or other service-oriented organizations will be an added advantage.
- Strong experience in HR administration, employee relations, operations management, facilities coordination, vendor management, and customer service.
- Good understanding of Nigerian employment practices, labor regulations, and statutory compliance.
- Experience managing multiple departments and cross-functional teams is highly desirable.
