Key Roles & Responsibilities
Contract Administration
• Administer contracts following award and execution.
• Ensure contractual obligations are properly documented and monitored.
• Maintain complete contract files and records.
• Monitor contract validity periods and deliverables.
• Ensure contract documentation remains current and accessible.
Contract Execution Monitoring
• Monitor contractor compliance with contractual deliverables.
• Track contract milestones and key deliverables.
• Coordinate with contract owners to verify progress against contractual commitments.
• Escalate contract execution issues where required.
• Maintain contract performance records.
Contract Change Management
• Manage contract amendments, variations, and change orders.
• Coordinate preparation and approval of contract modifications.
• Maintain change management documentation.
• Track cumulative impact of variations on contract value and schedule.
• Ensure approved changes are incorporated into contract records.
Commercial Administration
• Monitor contract values and utilization levels.
• Track committed versus actual contract spend.
• Verify invoices against approved contract terms and payment schedules.
• Support payment certification processes.
• Maintain contract financial tracking records.
Claims Administration
• Maintain records of contractors and company claims.
• Support evaluation and processing of contractual claims.
• Coordinate documentation required for claims reviews.
• Monitor claims status and resolution progress.
• Maintain claims registers and support documentation.
Contract Performance Tracking
• Measure contract execution against agreed contractual requirements.
• Prepare contract status reports.
• Monitor service delivery and work completion progress.
• Track contractual obligations and milestones.
• Support contract review meetings with stakeholders.
Contract Records Management
• Maintain centralized contract repositories.
• Ensure document version control.
• Manage contract correspondence records.
• Maintain contract registers and databases.
• Support document retrieval and reporting requirements.
Contract Close-Out
• Coordinate contract completion activities.
• Verify completion of contractual obligations.
• Facilitate final account reconciliation.
• Ensure proper archiving of contract documentation.
• Conduct contract close-out reviews and lessons learned sessions.
Stakeholder Coordination
• Liaise with Procurement, Legal, Finance, Projects, Operations, Maintenance, and Logistics teams.
• Support contract owners in contract administration matters.
• Facilitate resolution of contractual administration issues.
• Provide contractual status updates to management.
Qualifications & Experience
▪ Bachelor’s Degree in fields like Law (LL.B), Business Administration, Finance, Economics, or Supply Chain Management.
▪ 3–7+ years in procurement or supply chain, with at least 3 years specifically focused on contract management.
▪ Master's Degree/MBA – added advantage.
▪ Professional certification (CPCM, CCCM CFCM, CIPS etc.) is an advantage
▪ Experience in managing high-value service and project contracts.
▪ Experience with EPC, maintenance, and turnaround contracts preferred.
