We are seeking to recruit an executive Assistant to the Managing Director of a conglomerate group of companies located within Kampala, Uganda. The assistant will also double up as a marketing person, should therefore have some background in international marketing processes.

The ideal candidate should be a hands-on-person who will manage the tasks related to both marketing and administration. Your main KPI will be based on marketing and selling our oil range to both local and international clients. The product range is currently essential oil, this includes; Lemon grass oil, Marigold Oil and Palmorasa oil.

In addition you are expected to work with ease and professionalism as well as come up with innovative ways to facilitate and support the work of the Managing Director. The ideal candidate accepts new challenges, meets them head on, and presents solutions that effective and efficient.

The Executive Assistant to the Managing Director must be aware of the organisations aims and objectives and work to help the MD make the best use of his/her time by assisting in various projects as well as dealing with all secretarial and administrative tasks. The EA will be the first point of contact with both internal and external people. Discretion and confidentiality are essential attributes to be successful at this role.

The role will be based in Kyambogo, Kampala.

Skills and Qualifications

Technical & essential Skills

  • Background knowledge in essential oils and the market

  • Well versed with marketing with excellent analytical skills with all social media platforms

  • Ability to proactively think strategically; question and challenge senior decision thinking and provide viable solutions to problems at hand

  • Knowledge and experience with complex travel and flight itineraries, particularly international travel/hotel bookings

  • Experience of working for Directors/Senior Management for at least 5 years

  • Excellent Diary Management with the ability to pre-empt and look ahead at all times

  • Essential experience in Microsoft Office- Outlook/Word/Excel/PowerPoint

  • Experience with FMCG and B2B sales and marketing is an added advantage

Specifications

  • A Bachelor’s Degree in Business Administration, Marketing or any related field

  • Experience in internet marketing with successful sales

  • Experienced Personal Assistant at senior management level- Minimum of 5 years’ experience

  • Ability to multitask and experience of dealing with a demanding role and high-level workload

  • Experience of electronic diary management

  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external.

  • Ability to organise and plan own work.


  • Excellent attention to detail, with the ability to maintain a high level of accuracy.

  • A flexible, pro-active approach to work including the ability to prioritise effectively, using frameworks that are able to deliver on company goals

  • Ability to work autonomously with limited supervision

  • Ability to deal with sensitive information with discretion and to maintain the highest standards of confidentiality and integrity

  • Demonstrate a professional manner at all times and possess the ability to remain calm under pressure

  • Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint.

Marketing and Sales

  • All the marketing for the organization: Social media management & e-marketing, with a particular focus on Lemon Grass Oil.

  • Making actual sales of the lemon grass oil; Position is strictly to be maintained on performance of this aspect

  • Develop, implement and manage our social media strategy

  • Define most important social media KPIs and oversee social media content

  • Measure the success of every social media campaign

  • Stay up to date with the latest social media best practices and technologies

  • Work with copywriters and designers to ensure content is informative and appealing

  • Collaborate with Marketing, Sales, and Product Development teams

  • Monitor SEO and user engagement and suggest content optimization

  • Communicate with industry professionals and influencers via social media to create a strong network

Administration

  • Maintain Director’s office systems, including data management and filing.

  • Maintain records of Director’s contacts.

  • Screen calls, enquiries and requests, and deal with them when appropriate.

  • Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.

  • Produce documents, briefing papers, reports and presentations for the Director

  • Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.

  • Meet and greet visitors at all levels of seniority.

  • Any other duties as may reasonably be required by the Director.

  • Diary management – outlook experience essential

  • Business travel – booking flights, hotels, car hire etc

  • Organising visas

  • Arranging visa invitation letters to overseas visitors

  • Making requisitions for the projects expenses and staff salaries in a timely manner

  • Reconciling monthly expenses

  • Fielding calls for MD & taking messages

  • HR Administration – contracts/offer letters, relevant paperwork, maintaining personnel files. Liaise with outsourced HR dept. on any disciplinary occurrences.

  • Carrying out research for particular projects as requested by MD

  • Taking minutes at various management meetings & typing up minutes

  • Organising interviews/ liaising with recruitment agencies

  • Purchasing various items for MD as and when required
