The Trainee and Administrative Assistant will provide support to various departments within the organization while also receiving training and mentorship to develop skills and knowledge in administrative functions. Requirements

  • Diploma or equivalent in administration or related field preferred.
  • Previous experience in an office environment or customer service role is a plus.
  • Strong organizational and multitasking skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.
  • Willingness to learn and take on new tasks.

Administrative Support:

  • Assist with day-to-day administrative tasks, including data entry, filing, photocopying, and scanning documents.
  • Answer phone calls, take messages, and redirect inquiries to the appropriate person or department.
  • Manage incoming and outgoing mail and packages.
  • Coordinate meetings, appointments, and travel arrangements for staff.
  • Maintain office supplies inventory and place orders as needed.
  • Assist in organizing and coordinating company events and activities.

Reception and Customer Service:

  • Greet visitors and clients in a professional and courteous manner.
  • Direct visitors to the appropriate meeting rooms or personnel.
  • Respond to inquiries from clients, vendors, and other stakeholders in a timely and friendly manner.
  • Provide basic information about the company’s products, services, and policies.

Training and Development:

  • Participate in training programs and workshops to develop skills in administrative tasks, communication, and professional conduct.
  • Learn and adhere to company policies, procedures, and standards.
  • Receive guidance and mentorship from senior administrative staff.
  • Seek opportunities to learn and grow within the organization.

Team Collaboration:

  • Work collaboratively with colleagues and team members to achieve departmental goals and objectives.
  • Assist with special projects and initiatives as assigned by supervisors.
  • Communicate effectively and professionally with team members and other departments.
