Reporting to the Admistration Officer, the purpose of this role is to provide high quality Administrative support to MSUG Administration office. Reflecting our values and brand s/he will offer smooth support to the organization and will also be the part time support to the fleet office. S/he will work in close collaboration with all departments and will be responsible for ensuring efficient running of the organisation from an administration perspective.

Marie Stopes International is a global organisation providing personalised contraception and general reproductive health services to women and girls. Established in 2008, Marie Stopes Uganda (MSUG) is an international branch office of MSI.

The primary responsibility of this role is to further our Goal: THE PREVENTION OF UNWANTED BIRTHS and its mission of ensuring the individuals right to: CHILDREN BY CHOICE NOT CHANCE.

Knowledge Skills and Attitudes Qualifications:

Proof of Secondary Education by Certification.

Skills/Experience:

  • Demonstrated experience in a busy organisation with staff based in multiple locations

Meetings' Arrangements and General Staff Welfare:

Activities Include:

  • Working with the Administration Assistant, Support meeting arrangements ensuring thorough cleanliness and readiness for all meeting rooms.

  • Providing refreshments, teas and meals as requested by the Administration Assistant
  • Readily available drinking water in all the Office dispensers.
Indicators:
  • Clean and tidy meeting rooms all day through.


  • Refreshments readily available minimum 15 minutes before all meetings
  • All flasks filled with hot water through out the day, especially during working hours. All Dispensers furnished

Support Office Operations:

Activities Include:

  • Report any breakages, required repairs at the support office.


  • Photocopy and document transfers within support office.

  • Washing of all MSUG Official Vehicles as required.

  • Custodian of Office Keys. Open and close all offices including windows during and after working hours respectively

Indicators:

  • Timely support in all listed aspects.
  • All MSUG vehicles washed to acceptable standards.

Office Stationery, supplies and reporting:

Activities Include:

  • Carefully monitor office stationery, supplies, cutlery and utensils ensuring effective distribution to staff as requested for.


  • Provide accountability for all support office stock items e.g. stationery, supplies and cutlery.

  • Timely report any stock issues to the Administration Assistant.

Indicators:

  • Stock cards for respective stock items up to date.

  • No stock outs for stationery and supplies.

  • Timely stock reporting and all stock properly accounted for with no cases of missing items.
