Description
Bid Qualification & Strategy Development
• Lead bid qualification process using structured frameworks (e.g., BANT, win themes analysis) to assess opportunity viability and determine bid/no-bid recommendations
• Conduct comprehensive RFP analysis to identify requirements, evaluation criteria, client hot buttons, competitive landscape, and potential win themes
• Develop bid strategy and approach in collaboration with Sales and Solution teams, defining differentiation themes, pricing strategy, and key messages
• Identify risks, concerns, and red flags early in the process and develop mitigation strategies
• Facilitate bid kickoff meetings to align all stakeholders on strategy, roles, responsibilities, and success criteria
• Make informed go/no-go recommendations to leadership based on win probability assessment, resource availability, and strategic fit
Bid Process Management & Coordination
• Own the end-to-end bid process from qualification through submission, serving as single point of accountability for on-time, compliant delivery
• Develop detailed bid plans including work breakdown structures, task assignments, dependencies, milestones, and submission deadlines
• Coordinate contributions from cross-functional teams including Solution Consultants, Proposal Writers, Design, Pricing, Legal, Delivery, and SMEs
• Establish clear roles, responsibilities, and accountability frameworks for all bid contributors using RACI or similar models
• Drive bid cadence through regular status meetings, progress reviews, and decision forums to maintain momentum and address blockers
• Manage bid timelines with precision, proactively identifying risks to schedule and implementing mitigation actions
• Escalate issues, gaps, or resource constraints to leadership with clear articulation of impact and recommended solutions
• Maintain bid documentation including trackers, status reports, decision logs, and lessons learned repositories
Compliance & Quality Management
• Ensure complete compliance with all RFP requirements, submission instructions, formatting specifications, and mandatory elements
• Develop and maintain compliance matrices that track every requirement and map it to proposal sections, ensuring nothing is missed
• Conduct multi-stage quality reviews including compliance checks, technical reviews, commercial reviews, and final editorial reviews
• Coordinate with Legal and Compliance teams to review contract terms, liability provisions, and regulatory requirements
• Ensure all commitments, capabilities, and claims made in proposals are accurate, substantiated, and deliverable
• Manage version control and approval workflows to ensure final submissions have appropriate sign-offs
• Oversee final production, printing, binding, and submission logistics to ensure flawless delivery
• Maintain zero tolerance for missed submission deadlines or disqualification due to non-compliance
Commercial & Pricing Coordination
• Partner closely with Cost Coordinator and Commercial teams to develop competitive, compliant, and commercially viable pricing
• Facilitate pricing strategy discussions that balance competitiveness with profitability and risk management
• Ensure pricing assumptions, methodologies, and calculations align with solution design and operational delivery model
• Coordinate commercial terms discussions including payment terms, SLAs, KPIs, penalties, and incentives
• Review pricing narratives, rate cards, cost breakdowns, and commercial terms for clarity, competitiveness, and compliance
• Identify commercial risks and work with Legal and Finance to develop appropriate mitigation strategies
• Facilitate approvals for pricing, discounts, concessions, and commercial terms through established governance processes
• Ensure pricing submission packages are complete, accurate, and submitted according to client specifications
Stakeholder Management & Leadership
• Lead cross-functional bid teams with authority derived from expertise, process discipline, and relationship building rather than hierarchical power
• Build collaborative relationships with Sales, Pre-Sales, Delivery, Operations, Finance, Legal, and executive stakeholders
• Manage executive engagement including briefings, and decision requests at appropriate escalation points
• Navigate organizational politics and competing priorities diplomatically while keeping bid objectives at the forefront
• Hold contributors accountable to commitments and deadlines through constructive but firm expectation management
• Provide regular status updates to Sales leadership and key stakeholders on bid progress, risks, and critical decisions
• Celebrate successes and recognize contributions to maintain team morale and engagement throughout demanding bid cycles
AI-Powered Bid Management & Analytics
• Leverage AI-powered bid management platforms to automate requirements extraction, compliance tracking, and response mining
• Utilize predictive analytics and AI models to assess win probability based on opportunity characteristics, competitive factors, and historical data
• Employ AI tools for requirements analysis, identifying critical must-haves, evaluation criteria weights, and compliance risks
• Implement AI-driven compliance checking tools to scan proposals for requirement coverage gaps and submission instruction violations
• Leverage natural language processing (NLP) to analyze RFPs for client priorities, hot buttons, and evaluation criteria
• Experiment with emerging AI bid management technologies and assess their potential to improve bid efficiency and effectiveness
• Balance AI automation with human judgment, particularly for strategic decisions and stakeholder management
Win/Loss Analysis & Continuous Improvement
• Conduct/ or drive comprehensive win/loss analysis on every major bid to identify success factors and improvement opportunities
• Gather post-decision feedback from clients (where possible) to understand evaluation process, scoring, and decision rationale
• Document lessons learned and share insights across the organization to build institutional bid knowledge
• Analyze bid metrics including win rates by industry, solution type, bid size, competitor, and other dimensions
• Identify patterns in successful versus unsuccessful bids to refine qualification criteria and bid strategies
• Develop and refine bid processes, templates, tools, and governance frameworks based on lessons learned
• Share competitive intelligence gathered during bid processes with Product, Marketing, and Sales teams
• Report bid performance metrics and trends to leadership with recommendations for strategic improvements
Bid Governance & Knowledge Management
• Establish and maintain bid governance frameworks including qualification gates, approval authorities, and escalation paths
• Develop bid management standards, playbooks, and guidelines that ensure consistent, disciplined bid execution
• Maintain bid knowledge base including previous proposals, winning strategies, competitive intelligence
• Create bid templates, checklists, and tools that streamline bid development and reduce execution risk
• Partner with Proposal Response Creator and Playbook Content Manager to ensure bid content is current and aligned
• Represent bid management function in cross-functional forums and contribute to pre-sales capability development
Requirements
• Minimum of 2-3 years of experience in bid management, proposal management, or complex RFP leadership roles within technology, BPO, professional services, or similar industries
• Bachelor's degree in Business, Marketing, Communications, or related field required
• APMP (Association of Proposal Management Professionals) certification at Foundation, Practitioner, or Professional level is highly valuable
• PMP (Project Management Professional) or similar project management certification is a plus
• Proven track record leading and winning large, complex bids (>$5M+ TCV) with demonstrated impact on win rates
• Experience managing cross-functional bid teams and coordinating diverse stakeholders without direct reporting authority
• Strong familiarity with CX, contact center, BPO, or enterprise technology solutions is highly valuable
• Experience with public sector or highly regulated industry procurement processes is a plus
• Strong project management skills including planning, scheduling, resource management, risk management, and stakeholder communication
• Proficiency with project management tools (MS Project, Smartsheet, Asana, Monday.com, or similar)
• Experience with bid management software and proposal automation tools (e.g., Loopio, RFPIO, Qvidian)
• Ability to evaluate and implement AI tools that improve bid efficiency and effectiveness
• Data analysis skills with ability to interpret bid metrics, identify trends, and derive actionable insights
• Proficiency with Microsoft Office Suite, particularly Excel for tracking and PowerPoint for executive briefings
