Description
Organizational Setting and Reporting
- Organization & Location: United Nations Office at Nairobi (UNON), UN headquarters in Africa and representative office of the Secretary-General.
- UNON Scope: Provides administrative, conference, and information services to UNEP, UN-Habitat, the Resident Coordination System (RCS) globally, and other UN offices in Kenya.
- Reporting Structure: Reports under the general supervision of the Chief, Planning and Coordination Section.
Responsibilities
Conference Management
- Initiate and coordinate conference services activities, including planning, scheduling, venue assessment, facility usage optimization, meeting coordination, documentation, and follow-up.
- Advise substantive secretariats and governments on UN policies and practices for off-site conferences and host Government Agreements.
- Review meeting/conference requirements and official entitlements of UN bodies, including documentation.
- Lead, oversee, and coordinate the preparation and implementation of the UNON calendar of meetings and conferences, along with the associated budget.
General Administration
- Implement, coordinate, and monitor conference support services, liaising with functional heads for interpretation, documentation workflow, procurement, transport, travel, IT/communications, and local utilities.
- Assist in supervising the meetings planning and coordination team, providing guidance on conference management and administration.
- Prepare statistical data, reports on services, and resource mobilization details for conferences and meetings.
- Perform other related duties as required.
Education
- Required: Advanced university degree (Master's or equivalent) in business administration, public administration, social sciences, or a related area.
- Alternative: A first-level university degree (Bachelor's) combined with two (2) additional years of qualifying experience may be accepted in lieu of the advanced degree.
- Desirable: Successful completion of degree or non-degree programs in data analytics, business analytics, or data science.
Work Experience
- Required: Minimum of seven (7) years of progressively responsible experience in public relations, conference services, international outreach events organization, or inter-governmental conference organization and management.
- Desirable:
- Two (2) or more years of experience in data analytics or a related area, including the ability to create and customize reports.
- Knowledge of another official UN language.
Languages
- Required: Fluency in English.
- Desirable: Knowledge of French
