Experience

  • Minimum of three (3) years’ experience in a similar or related role



  1. Coordinate degree certificate verification, posting, and reconciliation with authorized issuing bodies.
  2. Assist in managing the programming of current academic requirements into the computerized degree audit system, ensuring accuracy, clarity, and providing training to end users.
  3. Update and maintain student records by processing changes to majors, minors, concentrations, and approved course substitutions.
  4. Conduct online clearance for prospective graduands in preparation for graduation.
  5. Prepare, coordinate, and oversee graduation line-up, seating arrangements, and attendance during commencement ceremonies.
  6. Register new and continuing students each semester, ensuring accuracy and integrity of academic records.
  7. Oversee the issuance, receipt, and record management of academic regalia.
  8. Process official and unofficial academic transcripts while ensuring timely service delivery.
  9. Archive, retrieve, and manage records using the Electronic Document Management System (EDMS).
  10. Ensure secure handling, controlled access, appraisal, and proper disposal of physical and electronic records.
  11. Transfer files to approved storage, manage retention schedules, and ensure compliance with institutional policies.
  12. Compile and submit periodic reports on transcripts processed and records archived.
  13. Support student identification card processing during new student registration.
  14. Ensure data accuracy, confidentiality, and adherence to university policies, regulatory, and legal requirements.
  15. Generate data and prepare reports to support planning and institutional decision-making.
  16. Manage access controls to academic records and ensure compliance with retention and disposal schedules.
  17. Perform any other duties as may be assigned in support of the Registrar’s Office.
