Description
As an international cooperation enterprise forsustainable development with worldwide operations, the federally owned DeutscheGesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the GermanGovernment in achieving its development-policy objectives.
The Good Financial Governance (GFG) project inTanzania, funded by Germany, Switzerland, and the EU, supports the governmentof Tanzania in implementing public finance reforms. The project focuses on four key areas:ensuring that revenues are raised and spent in a more effective, accountable,and transparent manner. Effective revenue mobilization is essential forsecuring adequate public funding to achieve long-term development goals, ashighlighted in the Addis Ababa Action Agenda. Equally important are effectiveness, accountability, and transparency ofpublic expenditure are crucial for reducing financial leakages and ensuringdevelopment-oriented spending of funds.

Job location: Band 2
Administrative Services
Organize administrative and logistical aspects of project activities (meetings, workshops, etc.)
Coordinates with the GIZ office on the delivery mode of service
Effective coordination with other finance & admin colleagues and the projects’ technical advisors to secure a smooth workflow.
Assists in maintaining a filing system for office, treats information confidentially, specifically in the areas if personnel and finance.
Ensures deputization for other staff members
Managing Stationery stock, process requests, place orders
Assisting with Inventory Management – Physical check, labelling, disposals
Coordinating with the landlord in case of repair and maintenance of the office building.
Assisting the supervision of the cleaning staff in the programme office
Reception and logistic services
Carry out reception duties (welcoming visitors including monitoring security at reception,
answering and transferring phone calls, receipt and dispatch of correspondence)Welcome visitors entering the organization and direction and settling.
Liaising with customers in a service-oriented manner on behalf of the office by providing a
professional phone service, personally welcoming visitors and maintaining a high standard in the reception areaManage, book and administer meeting rooms, including the provision of office materials for events,
Updates/maintains project internal directory
Coordinates and monitors time schedules and maintains the appointment schedule for events taxi arrangements, maintaining appointment electronically, and taxi arrangement.
Professional experience
certificate/diploma or similar qualification from a recognized clerical college at least 1-3 years’ professional experience in a comparable position
Other knowledge, additional competences
good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
very good written and oral knowledge of the European language widely used in the country, ideally a knowledge of German
politeness and helpfulness in dealing with visitors
willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
