Requirements

  • Minimum of a Bachelor's degree in Business Administration, Office Management, Secretarial Studies, or a related field from a reputable institution.
  • Professional certifications in secretarial administration or office management (e.g., Certified Professional Secretary) are an advantage.

Cognate Experience

  • Minimum of 5–7 years of experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting a C-suite executive (CEO, MD, GMD).
  • Experience in a fast-paced, multi-entity organization (financial services, manufacturing, or conglomerate) is highly desirable.
  • Proven track record of managing complex calendars, international travel, and high-level correspondence.
Responsibilities
  • Proactively manage the GMD’s complex calendar across time zones, resolving scheduling conflicts with sound judgment.

  • Arrange all domestic/international travel (flights, visas, accommodations, transfers) and timely expense reporting.

  • Screen, prioritize, and respond to correspondence (emails, calls) and draft professional communications.

  • Coordinate meeting logistics, including agendas, materials, minutes, and high-level events (Board meetings, retreats).

  • Serve as the primary liaison and gatekeeper between the GMD and internal/external stakeholders, managing access and follow-ups.

  • Handle all confidential information with discretion, ensuring security of the GMD’s office, documents, and communications.

  • Provide personal assistance (errands, family travel, appointments) and maintain an organized, well-equipped office.
