Requirements
- Minimum of a Bachelor's degree in Business Administration, Office Management, Secretarial Studies, or a related field from a reputable institution.
- Professional certifications in secretarial administration or office management (e.g., Certified Professional Secretary) are an advantage.
Cognate Experience
- Minimum of 5–7 years of experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting a C-suite executive (CEO, MD, GMD).
- Experience in a fast-paced, multi-entity organization (financial services, manufacturing, or conglomerate) is highly desirable.
- Proven track record of managing complex calendars, international travel, and high-level correspondence.
Responsibilities
Proactively manage the GMD’s complex calendar across time zones, resolving scheduling conflicts with sound judgment.
Arrange all domestic/international travel (flights, visas, accommodations, transfers) and timely expense reporting.
Screen, prioritize, and respond to correspondence (emails, calls) and draft professional communications.
Coordinate meeting logistics, including agendas, materials, minutes, and high-level events (Board meetings, retreats).
Serve as the primary liaison and gatekeeper between the GMD and internal/external stakeholders, managing access and follow-ups.
Handle all confidential information with discretion, ensuring security of the GMD’s office, documents, and communications.
Provide personal assistance (errands, family travel, appointments) and maintain an organized, well-equipped office.
