- Manage the MD's calendar, including scheduling and coordinating meetings, appointments, conference calls, & travel arrangements.
- Serve as the primary point of contact for the MD, screening and prioritizing incoming calls, emails, & correspondence.
- Draft and prepare emails, letters, reports, and other documents on behalf of the MD with accuracy and professionalism.
- Ensure timely responses to inquiries & requests, providing information or redirecting to appropriate channels as necessary.
- Arrange domestic and international travel for the MD, including flights, accommodations, transportation, and itinerary planning.
- Coordinate logistics for meetings, including room reservations, audio-visual equipment setup, and catering arrangements.
- Prepare meeting agendas, presentations, and materials, ensuring timely distribution to participants.
- Attend meetings as needed to provide administrative support, take notes, and follow up on action items.
- Organize and maintain electronic and physical files, documents, and records related to the MD's activities and responsibilities.
- Ensure confidentiality and security of sensitive information, exercising discretion and professionalism at all times.
- Utilize technology tools and software applications to streamline administrative processes and enhance productivity.
- Demonstrate proficiency in calendar management software (e.g Microsoft Outlook, Google Calendar) and other productivity tools (e.g Microsoft Office Suite, project management software).
- Support the MD in various special projects, initiatives, and strategic initiatives as assigned, demonstrating initiative, creativity, and problem-solving skills.
