Description
Shall be the Executive Secretary to the Managing Director providing high-level administrative,
operational, and strategic support to ensure the efficient functioning of the Managing Director’s office.
Responsible for managing diary, screening communication, coordinating board meetings, coordinating
Core Management Team Meetings, arranging corporate travel, and acting as a confidential liaison
between the Managing Director and stakeholders.


Requirements

• Education: Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
• Experience: Minimum of 3–5 years of experience in an executive assistant or senior secretarial role,

preferably in a utility, public service, or service industry.

• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and online

systems.

• Confidentiality: High level of integrity and ability to maintain strict confidentiality.

• Communication: Exceptional verbal and written communication skills.

• Organization: Strong organizational and time-management skills to work under pressure and manage

conflicting priorities.


Responsibilities
• Calendar and Schedule Management: Manage the MD’s diary, appointments, and travel itineraries,
including scheduling meetings with staff, stakeholders, and board members.

• Board Support: Assist in organizing board meetings, prepare necessary documents/reports, and communicate

meeting reminders to board committee members.
• Correspondence Handling: Draft, type, and dispatch emails, letters, and reports; handle incoming/outgoing
mail for the MD's office.

• Visitor Management: Receive and direct visitors, ensuring proper coordination of activities within the MD’s

office.

• Records Management: Maintain a secure and organized filing system for confidential and classified company

files.

• Meeting Support: Attend meetings as required, taking detailed minutes and tracking action items to ensure

timely follow-up.

• Stakeholder Liaison: Act as the liaison between the MD, senior management, and external partners

(suppliers, regulators, customers).

• Office Administration: Monitor office stationery supplies and ensure a clean, orderly, and professional office

environment.

• Be the designated personal Assistant to the Managing Director.
