Description
The primary purpose of an Assistant Receptionist is to serve as the first point of contact for an organization, ensuring a professional and welcoming experience for all visitors and clients. This role is critical for managing guest flow, facilitating communication, and supporting the daily administrative operations that keep the front office running smoothly.

Requirements & Qualifications
Level of Education

• Atleast Secondary School Education

Specialized training/professional qualification

• Atleast Diploma in Business Management/Business Administration, Certificate in Front Office Operations.

Relevant Job Experience

• Must have worked in a similar position for atleast one year

Other competencies/skills/abilities required

• Must maintain at all times highest standard of hygiene, appearance and social skills

• Must have good communication and organization skills

• Must have drive initiative and creativity

• Must be a good planner

• Must be a team player


Responsibilities
1) Reserve, register and assign rooms to guests, provide continuous source of information during their stay in the Guest House.
2) Brief guests on the hotel services and all the places of amenities.

3) Prepare all guests statement of bills and final invoice for settlement.

4) Handle guest lost and found items as required.

5) Maintain client weekly and monthly forecast for follow up business.

6) Obtain feedback from guests and Clients and action promptly.

7) Supervise the room racks, guest racks, reservation racks, guest room keys.

8) Receive & distribute guest mail to respective departments.

9) Solve guest’s problems to their satisfaction.

10) Co-ordinate special needs with other Heads of Departments e.g. airport shuttle or special diets, Persons with disability care.

11) Conduct Sales and Marketing and Promotions to clients over the phone, units website and social media.

12) Prepare and submit daily departmental sales report to the accountant.

13) Ensure that the front office team functions are professional and consistent standards expected in providing a high level of customer focus to meet business needs.

14) Handle all revenues that come through the department in a transparent manner and ensure accurate records and safety of the monies.

15) Implement fully the Jumuia Resorts Strategic plan and SOPs

1. Clean assigned swimming pool facility areas (i.e the swimming pool, pool deck, equipment area, locker room, showers).

2. Evaluates equipment function for the purpose of maintaining facilities and complying with mandated health requirements.

3. Maintain pool, including proper chemical and PH rate for the purpose of complying with mandated safety and health requirements.

4. Assist in maintaining swimming pool equipment ( e.g. backwashing filters, pump equipment) for the purpose of ensuring equipment is in proper working condition.

5. Monitors inventory levels of chemicals and other pool maintenance supplies for the purpose of ensuring the availability of supplies as needed.

6. Perform minor repairs to swimming pool equipment and facilities for the purpose of maintaining facilities and equipment in safe operating condition.

7. Assist with set up and movement of equipment (e.g. Starting blocks, benches) for the purpose of ensuring availability for special events.

8. Prepare purchase orders for the purpose of securing needed supplies

9. Responds to inquiries from guests, public health department, and other related parties for the purpose of conveying information regarding pool operations.

10. Stocks chemicals and other supplies for the purpose of maintaining adequate quantities and security of items.

11. Oversee clients while swimming to ensure safety and compliance of guidelines.

12. Fully Implement the Jumuia Resorts SOPS and Strategic plan.
