Description
(a) Duties and Responsibilities
The position is responsible for the provision of efficient customer care service to staff and members
of the public to enable efficiency and effectiveness of the institution. Duties and responsibilities
entail:
(i) Mann the reception area and act as the first point of contact to the institution by ensuring that
enquiries are handled in a helpful and constructive manner.
(ii) Report malfunctions on office equipment for repairs or replacements to keep the front office
operational by following established procedures
(iii) Handle inquiries by clarifying desired information and escalating complex inquiries to
relevant departments for further assistance in a timely manner and within high quality
standards.
(iv) Receive and direct visitors, staff and students to the relevant offices as requested
(v) Ensure that the reception area is kept smart and tidy to enhance the image of the institution.
(vi) Maintain reception area materials like applications and brochures, for purposes of providing
information to visitors.
(vii) Perform general clerical functions like copying, filing, scheduling for purposes of
supporting office operations.
(viii) Maintain building information like staff directories, emergency contacts for purposes of
providing reference information.
(ix) Process a variety of records e.g. transcripts, certificates and ensuring that proper records on
their issue are kept for tracking purposes.

Qualifications, Knowledge and Skills
For appointment to this grade, a candidate must have: -
i. Kenya Certificate of Secondary Education mean grade ‘D’ or its equivalent with at least a
D+ in English and Kiswahili;
ii. Certificate in any of the following disciplines: Customer Care, Office Management, Front
Office, Secretarial Studies or its equivalent from a recognized institution; and
iii. Certificate in computer applications.

and professional certificates and other testimonials to the undersigned on or before Friday, 14 th

August 2026 or deliver in person to the polytechnic during working hours.

1. Successful candidates will be expected to fulfil the requirement of Chapter Six by providing
the following documents.
i. Certificate of good conduct
ii. Tax compliance certificate
iii. HELB clearance
iv. Clearance from EACC
v. Clearance from a recognized Credit Reference Bureau (CRB)
