Description

Trident Group of Companies is seeking a hands-on, well-organized Group Administration Manager to run the administrative backbone of the group across Astral Industries Ltd (AIL), Trident Plumbers Ltd (TPL) and Trident Vocational Training Centre (TVTC). In this role, you will manage facilities, fleet, assets, security, supplies and licences so that staff at every site can work safely, without disruption and at controlled cost.

Key Responsibilities

  • Manage all group premises, repairs, maintenance and utilities.
  • Run the vehicle fleet: allocation, fuel control, servicing, insurance and staff transport.
  • Maintain the fixed-asset register and control the issue of tools, equipment, PPE and uniforms.
  • Oversee security, fire safety and first-aid arrangements at every site.
  • Renew all licences, permits and non-staff insurance on time.
  • Procure admin supplies and manage service contracts within budget.
  • Prepare the administration budget and report monthly on spend and compliance.

Facilities & Front Office

  • Manage the head office, Astral factory, Trident Plumbers yard/stores and TVTC campus.
  • Plan and supervise repairs and renovations; keep a preventive maintenance schedule.
  • Manage utilities, office space, reception, central registry, travel and event logistics.

Fleet & Asset Control

  • Manage vehicle allocation, work tickets, fuel, servicing, repairs and insurance.
  • Keep logbooks, inspection certificates and driver licences valid.
  • Maintain a tagged fixed-asset register with annual verification; recover company property from exiting staff.

Security, Health & Safety

  • Manage guards, access control, CCTV and visitor logs at every site.
  • Support the OSHA programme: fire equipment and drills, first-aid kits, signage and DOSHS registration.
  • Coordinate incident and emergency response with HR and the safety officer.

Procurement, Licences & Compliance

  • Buy admin supplies, PPE and uniforms within budget and procurement policy.
  • Manage cleaning, security, pest control, canteen and courier contractors.
  • Keep a compliance calendar: business permits, fire certificates, NEMA, public health, TVETA licence, leases and insurance claims.

Budget, Reporting & Supervision

  • Prepare and control the annual administration budget for each company.
  • Report monthly on admin spend, fleet costs, facility issues and asset status.
  • Supervise and appraise reception, drivers, office assistants, cleaners and security.

Qualifications and Requirements

  • Bachelor’s degree in Business Administration, Office Management, Facilities Management or a related field.
  • At least 5 years of administration experience, 2-3 of them as a supervisor or manager.
  • Experience in a manufacturing, construction or multi-site organisation is preferred.
  • Working knowledge of Kenyan business licensing, OSHA requirements and procurement practice.
  • Valid driving licence.
  • Proficient in MS Office / Google Workspace and an ERP (e.g. ERPNext).
  • Professional training in facilities, fleet or procurement management (e.g. KISM membership) is an advantage.
