Key Responsibilities

1. Driving and Transportation

  • Provide safe, reliable and timely transportation for InformAction staff, consultants, partners and other authorized passengers.
  • Drive staff to and from official meetings, field activities, workshops, trainings and other assignments as authorized.
  • Undertake local and out-of-town travel, including travel to rural and difficult-to-access locations when required.
  • Plan routes in advance and consider traffic, road conditions, weather, security and expected travel times.
  • Ensure that passengers are transported safely and professionally at all times.
  • Maintain punctuality and communicate promptly where delays or changes to travel arrangements arise.
  • Comply with all applicable traffic laws and organizational requirements relating to official travel.
  • Maintain appropriate confidentiality and discretion regarding information obtained while transporting staff and other passengers.
2. Vehicle Management and Maintenance
  • Conduct routine checks of the assigned vehicle before and after journeys.
  • Check essential items including tires, oil, coolant, fuel, lights, brakes and other basic vehicle requirements.
  • Report mechanical faults, damage or other concerns immediately to the supervisor.
  • Ensure that vehicle servicing and repairs are undertaken as scheduled and properly documented.
  • Keep the assigned vehicle clean and in good working condition.
  • Maintain required vehicle documents and ensure that they are available and valid.
  • Ensure that the vehicle has the necessary emergency equipment, tools, and spare tire.
  • Maintain accurate vehicle log sheets, fuel records, mileage records, and other required documentation.
  • Report accidents, incidents, traffic violations or vehicle damage promptly and in accordance with organizational procedures.

3. Logistics and Field Activity Support

  • Provide basic logistical support during workshops, trainings, meetings, field visits, and other organizational activities.
  • Assist with the collection, transportation, loading, unloading and arrangement of equipment and materials required for activities.
  • Support venue preparation, including arranging materials and basic equipment before activities begin.
  • Assist with transportation and coordination of participants where required and authorized.
  • Collect and deliver documents, supplies, equipment and other materials as assigned.
  • Support staff in ensuring that logistical requirements are confirmed before field activities commence.
  • Assist with purchasing or collecting approved supplies and ensure that relevant receipts and supporting documentation are submitted.
  • Support the movement and safe handling of organizational assets and equipment.
  • Provide practical support to program and administrative teams during field activities as required.

4. Planning and Coordination

  • Confirm transport and logistical requirements with the relevant staff member before an assignment.
  • Plan journeys and logistical activities to ensure that tasks are completed within the required timelines.
  • Communicate effectively with staff, participants, suppliers, venues and other relevant persons when carrying out assigned duties.
  • Inform the supervisor of any logistical challenges that may affect an activity and propose practical solutions where possible.
  • Prioritize tasks appropriately when handling multiple assignments.
  • Maintain flexibility when program activities or travel arrangements change.

5. Safety and Security

  • Prioritize the safety of passengers, staff, equipment and other organizational assets at all times.
  • Follow InformAction's security and safety procedures during travel and field assignments.
  • Exercise appropriate judgment when driving in unfamiliar, remote or challenging locations.
  • Report security concerns, road incidents, and other risks to the relevant supervisor.
  • Avoid driving when conditions or the vehicle present an unreasonable safety risk and immediately report such concerns to the supervisor.
  • Support staff in following applicable security and safety procedures during field activities.

6. Accountability and Compliance

  • Maintain accurate records relating to vehicle use, fuel, mileage, servicing and other assigned logistical activities.
  • Account for any funds provided for authorized purchases or logistical activities and submit the required receipts and balances.
  • Ensure that organizational vehicles, equipment, and other resources are used only for authorized purposes
  • Comply with InformAction's policies and procedures, including those relating to safeguarding, PSEAH, fraud prevention, whistleblowing, data protection, security and occupational health and safety.
  • Maintain professional conduct when representing InformAction during official travel and field activities.
  • Report any suspected misuse, loss, damage or unauthorized use of organizational resources through the appropriate channels.

7. General Support

  • Provide reasonable administrative and operational support to the organization when required and where such duties are consistent with the position.
  • Work collaboratively with programme, finance, administration and other teams to support smooth implementation of organizational activities.
  • Perform any other duties assigned by the supervisor that are consistent with the objectives of the position.

Qualifications

  • A valid Kenyan driving license appropriate for the vehicles assigned to the position.
  • A diploma in social sciences or related fields. A degree would be an added advantage.
  • A minimum of three years' professional driving experience, preferably within an NGO, development organization, private sector company or other institution.
  • Demonstrated experience driving, including rural and difficult road conditions, preferably a resident in one of the focus counties with extensive knowledge of the road network.
  • Basic knowledge of vehicle maintenance and troubleshooting.
  • Basic computer literacy.
  • Basic understanding of logistics and administrative support.
  • Experience supporting workshops, trainings, meetings, field activities or similar events is an added advantage.
  • A valid Certificate of Good Conduct may be required at the appropriate stage of the recruitment process.
  • Knowledge of Kenya's road network
  • Basic knowledge of occupational health, safety and security practices relevant to driving and field travel.
