We invite applications for the position of Procurement Assistant at our Kericho operation at Finlays Tea Extracts - Saosa Factory (also referred to as FTEK).


Job Overview:

The Procurement Assistant will report to the Assistant General Manager and will be responsible for performing all procurement functions which include obtaining purchase requests from users within the division, obtaining quotations from suppliers, raising orders to both the Procurement Department in Glasgow & direct to Suppliers, and performing other general inventory management functions. This will entail working closely with the store team and user departments to ensure proper management of reorder levels and supply delivery times.


Qualifications:

  • Diploma in Purchasing and Stores Supplies & Management / Diploma in Business Management

  • Work experience 5 years in a busy firm

  • General knowledge of machinery parts

  • General understanding of the manufacturing process and production schedule

  • General knowledge of food safety and quality systems

  • Working knowledge of accounting

  • Familiarity with Sage X3 will be an added advantage.

  • Handling consumables and stationary purchases, raising Purchase requisitions and Local Purchases Orders.

  • Negotiating for appropriate terms with suppliers in terms of payments and quality standards.

  • Ensuring that supplies reach the company within acceptable lead times.

  • Obtaining purchase requests from users within the division and raising the appropriate orders in the system and Glasgow’s Procurement desk

  • Follow up outstanding orders directly with suppliers for Kenyan orders.

  • Obtaining quotations from suppliers and analyzing the same to ensure that the company gets good value money, including negotiating for discounts where possible.

  • Confirmation of suppliers’ invoices before they are approved for payment by management to ensure that we only pay for items/services received.

  • Ensure that health and safety requirements are met. This involves the proper handling of hazardous items.

  • Inspect all supplies to ensure quality compliance with regulations such as HACCP.

  • Responsible for supporting, Implementing, and adhering to all food safety and Quality management system requirements.
