A. Responsibilities
The Procurement Specialist is responsible for:
- Purchasing materials and equipment for the GIZ Office and GIZ assisted project/programmes in accordance with GIZ rules conditions.
- Coordinating effectively with colleagues in the procurement division and with procurement officers at the Head Office
- Informing projects and programmes on time about the status of procurement of goods regularly particularly in the event of delays
B. Tasks
Core scope of tasks
Procures materials and equipment locally, monitor markets, issues invitations to tender and processes orders in accordance with GIZ regulations
Notifies projects and programmes of delivery location and time
Documents and files properly completed orders
Ensure Prosoft invoicing is made promptly and the payment balances are up to date.
Controls agents providing services to the GIZ in relation to customs clearance and vehicle registration.
Enters information in the customs declaration database, prepares statistics if needed
and makes follow-up
Enters and maintains data relevant for procurement and tenders in ProSoft
Receives goods and ensures that the receipt is documented and goods received checked
appropriately
Checks goods invoices, goods inwards receipts and other (delivery) papers and payment
instructions
Processes complains related on procurement e.g. cancellations
Organising the sending of files to the GIZ Headquarter
Manage all service providers’ contracts
Advice expatriate staff on import/export clearing issues
Prepares and submits all necessary papers for duty-free import of goods
Processes cases of damage in transport
Enters purchase requisitions and confirmation of receipt of goods through ‘Beschaffung
Online and SRM” for procurement through Head Office
Advises suppliers of defective goods delivered and arranges necessary
Follow ups arranges and coordinates the safe transhipment of deliveries to the
requesting project
Coordinates and ensures good workflow in the procurement of goods section.

Qualifications
- Degree in Business Administration, diploma in Procurement or Logistics
Professional experience
Other knowledge, additional competences
- Experience with IT-based accounting programs
- Good working knowledge of modern telecommunication systems
- Good interpersonal communication skills
- Good English command
- Participates in tenders
